Job Purpose The primary purpose of this role is to assist the Supplier Relations team to secure accommodation for ad-hoc groups and series gaps for Ireland tours. To negotiate the lowest possible rates and Terms & Conditions with the hotels in order to maximise the margins, buying within the budgets. To contract across our product portfolio (e.g. non-hotel services, restaurants, guides and coaches). To create and maintain product database for non-hotel services making sure contract rates and contacts are up to date. The secondary purpose of the role is client focused and is to support the Client Relations team through the qualifying, quoting and conversion of ad-hoc groups, and converting opportunities generated by the Sales Team. To ensure the successful and profitable operation of all groups handled including booking all services, issuing vouchers & invoicing clients. Key Responsibilities · Responsible for annual contracting of necessary non-hotel services such as entrances and restaurants in assigned regional area. · To maintain and improve good relations with all suppliers and to place qualified group requests passed to the Supplier Relations Team. · To send options, confirmations, amendments and cancellations via Tourplan system. · Ensure maximum usage of allocation and ‘re-use’ space. · To take responsibility for the growth of our client accounts by converting the opportunities generated by the Sales Team through the generation of quotations, securing and operating the tours and delivering excellence in service delivery. · To understand the client base and provide the right products and prices within client deadlines when quoting. · To ensure the smooth operation of all groups, working closely with Supplier Relations (SR) and Client Relations (CR) and to book when necessary all services and hotels according to the offers confirmed to our agents. · To create and issue final timed itinerary, vouchers, invoicing clients by given deadline. · To ensure the financial details of all bookings are accurate and up to date within Tourplan. · To organise and accompany clients, potential clients on FAM Trips, inspection trips. · To participate in the emergency cover rota, operating outside office hours. · To develop product knowledge by participating in relevant family trips and undertaking visits when necessary. ESSENTIAL Qualifications and Knowledge · Fluency in English · A solid working knowledge of Microsoft Word, Excel, Outlook, Powerpoint and the Internet Experience, Skills and Behavioural Requirements · Desire to deliver exceptional customer service · Results driven · Commercial awareness and understanding · Negotiation skills · Excellent organisational skills with attention to detail · Well-developed written and verbal communication skills · Ability to make decisions and to work on own initiative and as part of a team DESIRABLE Qualifications and Knowledge Tourism industry experience Tourism related degree Further second language Job Types: Full-time, Permanent
