A fantastic opportunity has arisen for an Operations Manager to join our Management team. This is a key position in our management team and an integral part of our future ongoing success. This position reports directly to the Partners. This position will suit a high energy, organized professional who is looking for a challenge to drive best practice and organisational change and effectiveness in a culture that values individuals and values employee contribution. The role is extremely varied and will give the successful candidate the opportunity to develop the role, as the business continues to grow. The successful candidate, as well as overseeing the general management of the Practice, will work closely with the Partners, Senior Management Team, and the key players within each department to ensure 'Best Practice’ systems are implemented and maintained. This will involve dissecting the processes within each department to analyse efficiencies, with focus on fee targets and recoveries within the time management system. In addition, the position will include the following: With a wide strategic remit, you will review internal systems and processes as well as manage special projects. Full accountability for all aspects of the operations of a busy accounting practice, including organising effective management meetings and driving actions Responsibility for driving performance management and change management by working with managers and supporting them through the process Responsibility for the work-in-progress timesheet reporting system and management, with key goals to improve effectiveness, efficiencies and client satisfaction. Responsibility for coordination of IT in the office (coordination with network and software suppliers) but also in driving the utilisation and development of an IT strategy for the office and management of the roll out of new software Lead and develop improved organizational procedures and systems, including filing, billing, accounts payable, and scheduling Development of intra-office communication protocols, streamlining administrative procedures and communicating changes to systems and controls/policies to the wider team Management responsibility for a small team providing administrative and systems support to the partners and fee earners Management of facilities management, supply management and inventory control Responsibility to oversee Partner schedules, troubleshooting scheduling conflicts and maximising Partner time effectively Management of the recruitment process, HR administration and the on-boarding of new employees About you: You will have proven ability and experience in a similar role with a demonstrable commercial acumen A refined ability to provide leadership and to create strategies to improve productivity efficiency and to manage change Possession of key competencies including prioritizing, business negotiation, organizing and decision making Previous experience demonstrating your ability to work on your own at a management level, but also with teams, motivating and driving results, taking full accountability An enthusiastic approach to problem-solving, energy and enthusiasm Proficiency in Microsoft Office suite and possess a good level of comfort dealing with CRM computer systems and packages Excellent communication and interpersonal skills coupled with very strong organisational skills and the ability to change hats quickly A professional, friendly, and approachable demeanour High integrity and confidentiality are essential for this position Nice to haves – but not essential: Accounting Practice background HR / Recruitment experience and/or; Regulatory compliance experience One of our cores values at Merry Mullen is an ethos of encouraging work life balance and long hours are not a feature of life within the practice.
