Role Overview The post holder will enjoy a varied role assisting the Delta Ireland management team with administration and operational tasks as required. Reporting to the Operations Manager and completing tasks, for managers across the business. Full training will be given for any tasks the employee is unfamiliar with. Key Responsibilities Meeting and greeting clients and visitors upon site arrival, ensuring that they are comfortable, and support the internal contact in managing requirements Completing relevant procedures when Guests arrive and leave – security, Health & Safety etc. Informing other employees of visitors' arrivals or cancellations Maintaining friendly and professional communication with all employees, clients & visitors, both face-to-face and by telephone & e-mail Replicating cinema drives and preparing them for distribution. Supporting the finance department with their duties. Answering, screening and forwarding incoming phone calls Transferring both internal and external calls, and where the person is not available, ensuring that a clear and concise message is successfully delivered Receiving, sorting and distributing daily mail and deliveries Booking meeting rooms for internal and external meetings Ensuring meeting rooms are maintained to a professional standard Ensuring the client areas are clean, tidy and reflect the company brand Maintaining office security by following safety procedures and controlling access via the reception desk. Ordering relevant office supplies and keeping inventory of stock Arranging travel and accommodation. Performing other general administration duties such as filing, photocopying, notetaking, sending of e-mails and communications. Scheduling and confirming appointments and maintaining event calendars. Knowledge, Skills and Experience Friendly, polite and customer focused attitude and approach Proficiency in Microsoft Office suite and with other office equipment – printer, photocopier, fax etc. Professional attitude and appearance Multitasking and time-management skills, with the ability to prioritize tasks Good written and verbal communication skills Upbeat personality and the willingness to help others Self-motivated and ability to work with a variety of people Ability to solve problems & to be resourceful and proactive when issues arise Well-organised & efficient with attention to detail Good Interpersonal skills and telephone manner Able to work under pressure and to be flexible with working hours and workload Ability to work as part of a team on a variety of projects and tasks Principle contacts Delta Ireland Management Team, Finance department.
