We are currently seeking a Resourcing Team Administrator to join our Human Resources department. The HR and L&D department comprises of 40 people globally and is responsible for the effective management of all matters concerning the employment and development of people within Stephenson Harwood. This involves carrying out appropriate initiatives, providing guidance and support to partners, managers and all employees alike, as well as supporting the creation of an environment, which enables people to make the best use of their capabilities and realise their potential to the benefit of the firm and themselves. This includes: Implementing our people and talent strategy in line with business objectives Resourcing, talent and career management Reward strategy and salary review Policy, procedures setting and the practical application of these across the business As a key member of the HR team, this role will support the resourcing team in delivering an excellent, proactive and professional recruitment service to the firm. This will include supporting the implementation of the firm's new direct sourcing strategy through online advertising and social media. It will also involve working very closely with the wider HR team. Key responsibilities Assist the team in a variety of core resourcing related administrative tasks (including diary management, arranging interviews, booking meetings, travel arrangements, arranging events or travel and produce packs as necessary etc.) Liaise directly with candidates, hiring managers, PAs, reception and IT in arranging candidate meetings or video conferences Contribute to maintaining the integrity of the recruitment database Adhere to GDPR requirements when processing candidate data Assist the resourcing team with secretarial duties, including PowerPoint presentations, Excel tables, inputting text and graphics in house style Produce the team's monthly management report information using Excel Manage the recruitment calendar and recruitment inbox Liaise with others across the firm in fee–earning and support teams at all levels as appropriate Complete expense reclaim forms in a timely and accurate manner Print, photocopy, scan, create and amend documents Open, sort and distribute post; manage departmental stationery supplies Maintain department filing, whether paper filing or e–filing, and archiving Process invoices; assist with budget management Produce Visio diagram to support process mapping and contribute to know–how Assist with the administration of the work experience process Assist related projects and initiatives providing administrative assistance where required Document and keep up to date, for business continuity purposes, a step by step guide of the responsibilities of the role Keep regular communications and other departmental information up to date – e.g. on intranet and relevant internet pages; guides and other marketing materials Attributes / skills required Interest in resourcing Strong IT skills in Word, PowerPoint, Excel Numerate and able to create, interpret and to generate reports and spreadsheets Attention to detail is essential View self as part of a professional team and as such responsible for delivering excellent service Work proactively seeking to help and support colleagues Possess the ability to respond positively and promptly to requests at all times using initiative to seek solutions to problems Able to handle sensitive situations and information confidentially and discreetly A reliable, enthusiastic and supportive team player Ability to respond positively and promptly to requests at all times using initiative to seek solutions to problems Service focused attitude, with an approachable and professional manner Confident and clear communication (verbal and written) with people at all levels of the business hierarchy Adaptable and amenable to changing deadlines and demands from multiple work givers Proactive with a "can do" attitude, and able to deliver results to a consistently high standard Skilled at completing routine administration with high degree of accuracy and reliability Prioritise workload in a methodical and organised manner based on deadline Able to remain calm in challenging situations This job description is indicative only and does not represent an exhaustive list of responsibilities.
