Southeast Georgia Health System has an opportunity for an Administrative Assistant to join our Administration team! Summary: Supports both the Administration and the Human Resources Departments at the Camden Campus with secretarial and clerical support services. Supports the Environment of Care function by maintaining committee records; assisting Manager of Facilities Management, Director of Safety & Security, Hospital Administrator, Assistant Administrator, Human Resources Manager, and the Medical Staff Coordinator as needed; and ensures monthly, quarterly and annual reports are completed in a timely manner. Performs a wide variety of assignments including correspondence, data entry, creating forms, maintaining files, typing procedures and undertaking special projects as needed. Prepares reports, schedules meetings and maintains calendar. All team members of Southeast Georgia Health System will promote a culture of safety, follow established policies, and adhere to all state and federal regulatory requirements, Joint Commission requirements, and national patient safety standards The Administrative Assistant performs the following essential responsibilities: Provides clerical support to Administration, Patient Care Services, Human Resources, Facilities Management and Safety & Security. Maintains hospital calendars and meeting room schedules. Provides direct clerical support to the Assistant Administrator of Patient Care Services including meeting scheduling, correspondence, and filing and provides other support as needed. Provides clerical support for monthly Leadership meetings. Schedules tentative appointments for approval by manager, and may schedule group meetings per direction of manager. Serves as the receptionist for the Administration and Human Resources offices. Receives and screens telephone calls on the main Administration and Human Resources lines and routes them or takes messages as appropriate. Regularly gathers routine oral information from others (or makes oral requests of) other administrative, maintenance, or clerical team members and/or outside vendors, customers, or the public. Prints ID badges for team members and contractors. Assists with job applicants including paperwork for pre-employment. Provides clerical support for Human Resources Manager. Schedules meetings for the Disaster Preparedness Committee and for Environmental tours. Ensures that meeting agendas and files are current. Compiles monthly, quarterly and annual reports for each committee. Creates drill critiques as needed. Tracks follow-up items until resolved. Takes minutes for Disaster Preparedness Committee. Maintains records for pagers. Informs vendor when pagers need to be exchanged, terminated or activated. Orders spare pagers and batteries as needed. Order supplies for Maintenance and Administration as requested. Operates a variety of office equipment, such as a personal computer, printer, photocopier, transcriber, facsimile, scanner, or calculator. Progressively utilizes the feature of one or more standard business software packages up to the following skill level: Word Processing: Inputs scientific, legal, medical, or bi-lingual text or develops routine macros; multiple columns; routine tables; automatic footnotes, endnotes, and tables of contents. May develop complex tables and charts (e.g., mathematical formulas, headers, font changes, and highlighting, split cells). Develops routine macros. Imports and exports data and graphic files. Spreadsheets: Designs complex spreadsheets, with multiple-function formulas, and prints desired sections. May link spreadsheets. Imports or exports data, or word processing files. Creates graphics files and exports to word processing. Collects and compiles data from several sources of information. May perform a variety of calculations. Performs other duties as may be assigned. The ideal Administrative Assistant candidate should posses the following minimal qualifications: High School Diploma or equivalent required. Minimum of five years secretarial experience Must possess computer word processing and spread sheet proficiency. Must possess excellent organizational skills with records management. Must have excellent communication skills, with the ability to speak, read, comprehend and write in English. Exhibits positive interpersonal skills/customer service as 90-95% of time is spent interacting with others.
