About You: We are seeking someone to join our team as an Office Manager! This person will be responsible for managing the day to day operations of the Toronto office and team. The day to day management will include maintaining the office, providing accounting and HR support to the local team, and assist with events, forums and conferences. This person also plays a critical role in assisting the Toronto Managing Partner in maintaining a healthy office culture. Your responsibilities will include, but will not be limited to; Office Maintenance: Maintain stock of office supplies and ordering additional supplies when needed (e.g. stationary, printing pager, etc…) Maintain the office kitchen including ordering snacks, groceries and beverages Maintain high level of office cleanliness and liaise with building to coordinate yearly cleanings and/or any necessary renovations Create service/maintenance requests with building Receive, distribute, and send mail/packages Support for the Team: Responsible for assisting the Managing Partner in maintaining a healthy office culture Maintain office calendar and agenda including recurring office meetings Create visitor requests for building security Reserve conference rooms and conference lines for onsite meetings Manage the conference rooms (clean daily, organize all wires, keep stocked with the proper equipment and furniture) Coordinate office seating arrangement and office moves due to promotions, new starters, and rotators Maintains office inventory and orders supplies. Recruiting, HR and Event Planning Organize and decorate for regular office events and holidays (birthdays, lunches, social events, etc.) Plan the annual summer outing and community service events Arrange team outings, community service events, office happy hours, and other events Assist with Forum travel and day-of logistics Assist recruiting with onsite recruiting events, i.e. support for Super Day interviews and occasional support with travel bookings for candidates Organize new hire orientation and onboarding of employees, including new hire paperwork Recruit for consulting and central function open positions Draft employment agreements for new hires Coordinate with US IT and US HR to prepare for new starters. Liaise with global HR and other offices with regards to rotations Prepare monthly payroll using ADP software. Track paid time off. Manage Human Resources, including company benefit and leave policies Provide support to employees in various HR-related topics. Supports the employee performance review process. Maintains employee files and records Liaises with the external Canadian lawyer regarding HR employee relations and legal documentation Accounting: A/P - Review invoices, interact with vendors to correct discrepancies, prepare report with list of approved invoices to pay and work closely with the managing partner to ensure timely payment processing Enter all client projects and proposals to SAP. Billing - perform all aspects of billing using PitStop/SAP. Prepare and make deposits. Collection calls to clients as needed. General Ledger – track all revenues and expenses using the General Ledger provided by the CPA firm. Prepare monthly financial report to be submitted to Germany. Administer Firm benefit plans, including RRSP and medical. Manage Cash Flow including monthly reconciliation of General Checking and Savings Accounts and Line of Credit. Provide CPA with required documentation to prepare annual tax returns.
