The Role Where you fit in? The Administrative Associate - E Department and Logistics performs tasks and clerical duties in support of E Department and Logistics Production Teams at the Shell Geismar Chemical Plant. Responsibilities: Deliver administrative support to the assigned team(s) Document Control Coordinator for EO/EG, Utilities, and Logistics documents and webpages Maintain department records, files, documents, and databases Maintain operations procedures using Versa software Update Organization Charts, Emergency Phone Lists, and email distribution lists Maintain department webpages and ensure links work (SharePoint and Web Q&E) Assure compliance with document controls Monitor inventory and order supplies, including office supplies, coffee supplies, shipping supplies, business cards, flowers, and other items Organize and/or coordinate meetings or other events which may occur inside or outside Shell offices including, but not limited to, the following: social events, conferences, workshops, meetings, lunches, trainings, transfer and retirement celebrations, etc These events may require one or more of the following activities: Researching venues Determining costs of various potential venues and arrangements Negotiating with third parties and full administration before/during/after the event Schedule and manage larger/more complicated meetings for team Make travel arrangements for team members as required Make arrangements for visitors to the site Order commemorative gifts for turnarounds, projects, etc Reproduction work and scanning of documents as necessary Assist in preparation of documents, reports, presentations On-board new staff in the department on office policies and procedures Coordinate office moves, telephone and IT moves Prepare Staff Movement Forms and submit to appropriate personnel Follow-up on items requiring action Handle queries on office matters Safety, Health, & Environmental Duties and Expectations: Demonstrate the belief that accidents are preventable Includes safety in assigned work activities Be involved and participate in safety meetings Understand and comply with Shell’s Drug and Alcohol Policy Requirements Must have legal authorization to work in the US on a full-time basis for anyone other than current employer. High School Diploma/GED. Minimum three (3) years administrative experience in similar facility. Highly proficient in Word, Excel, PowerPoint and MS Outlook. Proven organizational and work process experience. Attention to Detail. Demonstrated Self-Start with ability to work unsupervised. Proven experience delivering results and meeting deadlines.
