Overview: The Editorial Assistant is responsible for supporting the Publisher and Acquisitions Editors to reach their key goals in assigned discipline (Leadership and Corwin Mathematics), including book signings, book transmittals, and books published, online product and video development, and related professional learning support and management. The Editorial Assistant supports the daily acquisitions, editorial, production, administrative, and scheduling needs and demands of the editors and/or Publisher to whom they are assigned. This position is based in our Thousand Oaks, California office (remote work not permitted for this role). Essential Job Functions & Responsibilities: 1. Assist editors in managing proposals by: Acknowledging book proposals submitted for editorial consideration. Proactively inviting peer reviewers in appropriate disciplines to review book proposals. Distributing proposals to selected reviewers and track return of completed reviewer reports, following up as needed. Compiling reviews, as directed, for Publisher to send to authors. Processing reviewer book orders or monetary compensation through purchase order system. If the decision is made to reject the proposal, sending an appropriate rejection letter and recording the decision in the appropriate files. If the decision is made to move ahead on a proposal, entering preliminary information about proposed projects into database. Update as needed in a timely manner. Consolidating all materials; post contract proposal and distribute in advance of strategy meetings. For approved proposals, updating databases; sending finalized proposal for Publisher/Ed Director’s approval; and posting approved proposal to database. 2. Assist team in preparing contracts by: Preparing all basic contracts, Independent Contract agreements, and Work-for-Hire agreements, according to Publisher’s/ Acq. Editor's requirements. Work with author, Publisher, and legal team to revise if negotiations are required. Routing contracts to authors and Editorial Director for signing. Returning countersigned contracts to authors with Corwin Author's Guide, and permissions guidelines. Sending or maintaining updated author/contributor tax forms. Updating relevant files and databases. 3. Assist team in manuscript development and delivery by: Proactively inviting peer reviewers in appropriate disciplines to review draft manuscripts. Distributing manuscripts to selected reviewers and track return of completed reviews, following up as needed. Compiling reviews, as directed, for Publisher/acq editor to send to authors. Processing reviewer book orders or monetary compensation through purchase order system. Reviewing and answer permissions questions for authors with help from CDE or Legal Department, as needed Working with author to ensure all pieces of the manuscript, photos, permissions and other material necessary to transmit is in hand prior to transmittal. Tracking and log all permissions provided by the author Assisting in permissions requests using online signature software (Docusign) Performing photo research and/or assist in photo placement and captioning when needed. 4. Lead the book transmittal process by: Finalizing permissions log to be signed by author and post to database. Creating QR codes and aligning to captions by to-press date for any video ancillaries. Working with production to prepare online content for companion websites. Working in tandem with Content Development Editor and team to brainstorm interior and cover design and title. Collecting all required pieces and prepare book for transmittal by filling out basic specs in internal database. Maintaining internal database and communicating any changes during production (price changes, date changes, bundle creation). Ensuring all products go live on the Corwin website at the right time. Coordinating all phases of basic ancillary creation—including companion websites and related artifacts—under the guidance of the Content Development Editor, Acquisitions Editor, and/or Publisher in tandem with Online Professional Learning and/or the Production Editor. 5. Manage Post-Publication workflows by: Processing book orders for post-pub (copies to authors, endorsers, reviewers, etc.). Tying up loose ends concerning ancillaries. 6. Support author questions/correspondence by: Answering all inquiries and requests throughout the above process in a timely fashion. Representing the Publisher as “ambassador” with external authors, peer reviewers, and internal Corwin/SAGE colleagues. 7. Conduct market research by: Researching topics, associations, trends, market data, etc. Sending out surveys and compile and analyze results as directed by Publisher. Running and format reports per Publisher’s request. 8. Other: Attend team meetings, facilitating and scheduling when needed. Coordinate author requests for books. Complete check requests via online system. Track Key Performance Indicators (signings, transmittals and published titles, budget) on a monthly basis for Acquisitions Editor/publisher to be used by the editorial team to plan and assess progress. Under the direction of the Publisher, work collaboratively with other departments on new procedures and systems. Maintain budget reports and cost monitoring spreadsheets. Book travel for Publisher, editor, and self when needed. Qualifications & Education: Include, but not limited to, the following: Bachelor’s degree from an accredited university required Book publishing experience preferred An interest in K-12 education preferred Ability to quickly master in-house systems used in Editorial Acquisitions Proficiency in Word, Excel, PowerPoint, Outlook and Internet Proven demonstration of high level of maturity and professionalism Excellent oral and written communication skills Ability to solve problems and make decisions Excellent research skills Ability to interact appropriately with authors, customers, and colleagues in a manner reflecting the SAGE Vision Statement
