Position Summary Working as a member of the Human Resources team, the Human Resources Assistant (HRA) provides comprehensive administrative, project and coordinating support to the daily operations of the Human Resources team. This includes contributing to the efficient and professional delivery of HR programs, processes and services across the Hospital. The HR Assistant provides administrative support for the HR functional areas of recruitment, payroll & benefits, occupational health & safety, scheduling, and labour relations. The HRA maintains employee and departmental files, prepares and sends departmental correspondence, maintains office supplies, sorts and distributes correspondence, complies and tracks statistical data and responds to inquiries from clients, public, and other internal and external stakeholders of Ross Memorial Hospital. The main duties and responsibilities include but are not limited to: Provide administrative support to the Chief Human Resources Officer and HR team members. Provide administrative support to the full recruitment cycle i.e. create and advertise job postings, schedule interviews, prepare appropriate letters for internal/external candidate’s, assist with onboarding new employees (this includes the criminal reference check process, assist with employee coding). Develop and maintain personnel files i.e. coordinate all hiring documentation with payroll, prepare and maintain personnel files as per legislation & policy, maintain orientation list, send new hire notifications to appropriate group of people. Maintain department statistical information and prepare quarterly reports. Coordinate Employee Long Service Awards Program. Support various HR programs e.g. Referral Rewards Program. Coordinate committee meetings and functions. Provide administrative assistance with labour relations i.e. take minutes at Labour Management meetings. Create and manage employment verification letters for employees and respond to external requests. Responsible for maintaining an accurate and up-to-date HRIS. Liaise with Payroll frequently. Essential Qualifications Completion of a Human Resources Degree or Diploma/Certificate program or equivalent combination of education and relevant experience Minimum of five (5) years administrative experience which includes a minimum of one-year related work experience supporting Human Resources functions One-two years’ experience with data entry into HRIS/Payroll systems, and HR reporting Previous experience working in a unionized environment Demonstrated understanding of employment legislation and collective agreement administration Intermediate proficiency of microcomputer applications-Microsoft Office (e.g. Word, Outlook, Excel, Publisher, PowerPoint) Highly motivated, solution focused and results-oriented Able to take initiative and work in a fast paced environment Excellent written and verbal communication, and interpersonal skills needed; as well as strong attention to detail Extremely proactive in meeting customer needs Ability to interact and work well with others Demonstrated excellent time management, and organizational skills with the ability to prioritize to be able to successfully manage tight deadlines Preferred Qualifications Related work experience in a hospital setting Experience working with Njoyn (Applicant Tracking System) an asset Experience working with Virtuo an asset Hours Of Work Must be available Monday to Friday – days (37.5 hours per week) Hours may vary or change on occasion, according to departmental requirements.
