We are searching for an experienced Human Resources Assistant at our Newburyport, MA - Bld 16 location. GENERAL SUMMARY Assist and support the Human Resources department on the tactical operations of the function. This position will manage employee records, organize and update files, prepare reports and be the primary backup of essential HR responsibilities. On a daily basis, performance administrative tasks and use great interpersonal skills to answer questions from employees of all levels. and perform other administrative tasks as needed. ESSENTIAL JOB FUNCTIONS Ø Enter data into HRIS system ensuring accuracy of information and generate basic reports Ø Electronic and physical file management Ø Maintain and administer all Rochester employee programs including but not limited to SPOT Award, Referral Program, Tuition Reimbursement, Incentive Program Ø Report headcount to finance and CPA monthly Ø Maintain and administer Monthly/Quarterly HR Newsletter Ø Administer 401(k) changes including deferral adjustments, RMD’s, and QDRO’s Ø COBRA administration including ADP Enrollment/Termination, Communication with Benefit Providers, Communication with COBRA Administrator ensuring smooth transition and coverage elections for all COBRA participants Ø Compliance audits to include I9 and Employee File management; prepare files for audits Ø Workers compensation and injury report administration Ø Administration and participant tracking of HSA Medical Plan Ø Work with Finance on behalf of HR to ensure proper benefit invoicing (Cigna, HealthPlans, HealthEquity) Ø Respond to Customer/Supplier survey’s on behalf of Rochester HR Ø Assist in compliance filings – EEO, HCE, VETs Ø Assist in the administration and tracking of employee LOAs Ø Respond to unemployment inquiries OTHER DUTIES AND RESPONSIBILITIES Ø Maintain compliance posters, SharePoint and HRIS landing pages PREPARATION, KNOWLEDGE, SKILLS & ABILITIES Ø Bachelor’s degree in business, preferably in a related field is a plus Ø 1-2 years of experience working in a Human Resources department preferred Ø Experience with ADP Workforce Now strongly preferred Ø Attention to fine detail Ø Excellent interpersonal skills, ability to work well in a team, with all levels, as well as independently Ø Strong organization and time management skills, ability to multitask Ø Strong technical skills, highly proficient in Outlook, Word, Excel, and HRIS programs Ø Good typing/data entry skills Ø Positive attitude, collaborative spirit and strong customer service skills SUPERVISORY RESPONSIBILITY Ø None WORKING CONDITIONS/PHYSICAL DEMANDS Ø While performing the duties of this job, the employee is regularly required to sit; use hands to hold, handle, or feel and talk or hear. Ø The employee is frequently required to reach with hands and arms.
