Roanoke College has a rare opening for Administrative Specialist in our Student Affairs division. This position provides essential office and administrative support for the Dean of Students (DSO) and the Office of Multicultural Affairs (OMA). This is a fully benefitted, non-exempt position that will be scheduled to work 37.5 hours per week, Monday to Friday, with very occasional overtime and weekend work. Job duties include the following: Serve as the office manager for the Dean of Students Office & Office of Multicultural Affairs. Oversees the department's student employment process, including hiring hiring, performance management, supervision of daily work, and timekeeping. Maintain DSO and OMA budget records & assist in overall management of departmental budget including coordinating purchase orders, credit card reconciliation, check requests, transfers and deposits, and monthly budget reporting. Maintain Outlook calendars for Dean of Students, Assistant Dean of Students, and the Director of Multicultural Affairs. Coordinate administrative support for student conduct system (including sexual misconduct student cases), parking appeals, Care Team and the Withdrawal for Health Reasons process. Prepare, maintain and distribute all correspondence, records, reports, and statistics for student conduct and the Care Team. Coordinate logistics (catering, room reservations, etc.) for multiple events during the year that are sponsored by the DSO and the Assistant Dean of Students. Manage access privileges to shared divisional computer folders and office software (Maxient, etc.). Provide administrative support to Student Government Association (SGA). Coordinate annual publication of the Student Conduct Code, Student Handbook, Crisis/Emergency Management Plan & Faculty Staff 911 Folders. Attend major campus events (specified orientation weekend events, Family Weekend, Alumni Weekend, etc.) as requested. Other duties as assigned by the Dean of Students, Assistant Dean of Students, and Director of Multicultural Affairs. Qualified applicants will have strong organizational and customer service skills, the ability to use MS Word, Excel, Outlook and PowerPoint as well as a a a variety of department specific programs. Outstanding verbal and written communication skills are required. Event planning experience and project management abilities desired. Applicants should have at least 5 years of responsible administrative support experience, with higher education experience preferred.
