Overview: The Accounts Payable Representative is responsible for ensuring that all payment requests are processed timely and accurately according to accounting standards and in compliance with company policies and procedures. Close interaction with our outside customers (vendors and suppliers) as well as our internal customers (employees) is necessary to be successful in completing the requirements of this position. Responsibilities: Performs all activities for the accounts payable functions assuring that the hospitals financial obligations to our vendors are met in an accurate and timely manner Assures that all invoices, credit memos, check requests, employee reimbursements or cash advances are authentic, have proper supporting documentation and approvals, and are assigned to the proper general ledger posting account prior to processing for payment. Issues payments and processes electronic payment files for all companies and cash codes including: checks, ACH, auto debit, wire, credit card, P card, employee reimbursements. Maintains vendor database within the accounts payable system assuring payments are issued to the correct vendor and Tax ID number and system is kept current Has a general understanding of basic accounting principles, and a thorough understanding of the three way matching system with purchase order, receiving document, and invoice Assures all vendor statements are reviewed and reconciled for aging of open invoices. Resolves payment discrepancies or past due balances that may arise with our customers. This may involve significant research and problem solving skills. Ability to work with vendors and employees at all levels of the organization promptly and professionally, and handle confidential information in a discreet manner Monitors payment reports for potential cost savings strategies and makes suggestions for internal process improvements Ability to exercise good judgement, making decisions in a logical and rational manner, demonstrates common sence, and stays calm in confrontational situations Assists with the organization of the Accounting department to ensure an efficient and pleasant environment to work Assists with coverage of job responsibilities whenever coworkers are on PDO or a vacancy exists within the Accounting department. Works on other projects as assigned by the Manager, Controller, or VP/CFO. Qualifications: Education Required: High School Diploma or G.E.D. Education Preferred: Associate’s Degree in Accounting or business related field Experience Required: 1-3 years of experience in a professional office environment with excellent communication and computer skills and high attention to detail Experience Preferred: Health care or non-profit accounting experience is beneficial Licensure: None Certifications: None Other: Must be proficient in the use of Microsoft products such as Excel, Word, and Outlook. Ability to adapt and become productive with new computer software programs and stay current on best practices. Schedule Details:Day Shift. 40 hours weekly. 8:00a - 4:30p.
