Quay Pacific Property Management Ltd. is a locally owned and operated company that has provided property management services to the lower mainland for over 20 years. We are seeking a dedicated full-time Administrative Assistant for our New Westminster officewho will contribute to our commitment to excellence in property management. Main duties include providing administrative and clerical support to establish efficient operations at the office and ensuring all assigned duties are completed accurately and in a timely manner. As the Administrative Assistant you will also be greeting customers and work the ‘front of the house’ by providing excellent customer service and creating a welcoming environment, as well as accept payments at the front desk. DUTIES TO INCLUDE: Assist with greeting customers at the front desk; Assist with answering incoming calls; directing calls to the appropriate staff; answering general inquiries Have basic understanding of the industry & answer general client inquiries (telephone, e-mail, walk-in) Accept payments at front desk Assist with incoming & outgoing mail Courier delivery Ordering supplies for the office Maintain and organize supply closets. Maintain office supply list and directory. Assist the Administration and Accounting departments with day-to-day tasks Scan, distribute and file financial statements Maintain and organize financial records Follow-up and liaise between the company and suppliers and/or clients Create file folders, labels, and photocopies of documents as needed. Updating various databases of information. Scanning & Filing – Hardcopy filing, scanning & electronic filing of electronic documents (hardcopy filing can be a physical task as moving banker boxes of files would be involved) Use & Maintenance of Office Equipment – Telephone system, photocopiers, scanners, fax, postage machine, PC (Windows) Prepare the conference room for meetings Monitor office for general cleanliness. Ensure general office supplies are stocked THE APPLICANT MUST MEET THE FOLLOWING CRITERIA: Self-motivated with strong interpersonal communication skills and superior client service skills. Must be strong communicator. Must have at least one (1) year of administrative experience or completion of an Administrative Assistant diploma. Ability to work in a fast-paced environment. A desire for excellence in your job and a pleasant disposition. Excellent written and verbal communication skills with a good command of the English language. Other languages an asset. Have excellent organizational skills with proven attention to detail. Resourcefulness and exceptional time management skills. Expert understanding of Microsoft Office software, including Microsoft Word, Excel & Outlook. Excellent typing skills. Technological expertise to perform tasks such as electronic filing, directory management, telephone system management, password protection, document formatting, document merging, electronic signatures, etc. Strong multitasking skills with a high degree of accuracy. Must have data entry experience. Ability to edit and compose business communications (i.e. letters, notices, e-mails). Previous industry experiences an asset. Accounts Receivable experience an asset. Our riverfront main office is located in beautiful downtown New Westminster, just steps away from Columbia Skytrain station. Our portfolio consists of properties in New Westminster, Vancouver, Burnaby, Surrey, Langley and the Tri-Cities.
