Job Description Position: Finance Administrator Reporting to: Finance Manager Date: January 2019 Salary Scale: Band 2B - £18,685 – £19,694 Personal Attributes: You will be confident in multitasking and working under pressure You have excellent written and verbal communication skills You have an excellent eye for detail You are self-motivated and well organised Professional and proactive in your approach You are resourceful A team player who is approachable and able to work alongside others Purpose: To work as part of the Finance team of Police Credit Union in order to meet the organisation’s aims and objectives To provide clerical support for daily standard financial accounting ensuring reliable, up to date information is available at all times, including all income and expenditure To support the daily operation of the financial systems of the Credit Union To assist in maintaining the financial health of Police Credit Union Support the work and duties of the Finance Manager Delivering an effective service within the finance system which supports management and staff Accounting Key Responsibilities: - Maintaining the Purchase Ledger on a daily basis, ensuring accruals and prepayments have been posted accurately - Payment of Invoices, staff expenses and other outgoing costs - Accurate and precise information is recorded at all times - Processing business payments in an efficient and timely manner, these include auto payments, manual payments, chaps, intercompany transfers and any other business payments - Ensure cheques are issued in a timely manner, accurately and recorded correctly - Monitor uncleared cheques and raise any issues - Ensure the payment issues log is updated in a timely manner and that any issues that are identified are escalated efficiently - Assist with account reconciliation as required by regulatory bodies - Assist in the preparation of bank reconciliations and associated journals Financial Administration - Maintain the Fixed asset register on a regular basis - Setting up member Direct Debits in a timely manner - Must have the confidence to work closely with stakeholders and to build a strong rapport with existing and potential suppliers, ensuring their queries are appropriately responded to - Submitting and following up any Banking claims eg. BACS Recall - Working as part of a busy team of six covering all aspects of finance and administration for the company by ensuring internal processes and controls are followed - Administer the Purchase Order system - Monthly system reporting and updating accounts - Accurately filing electronic and hard copy documents in a timely manner - Support the Finance team with any requirements for filing, scanning, inbox management or mailing etc - Liaise with other departments to ensure first class service is delivered to our members eg. Business Development Team - Promotional rewards to added to accounts correctly and efficiently - Control petty cash box, and reconciling to the nominal ledger Other - From time to time you will assist with working alongside Collections and Payment Services within the finance team, this will entail providing support and holiday/absence cover - The post holder will undertake other duties as and when may be reasonably required and will be expected to work effectively with other departments in order to make a positive contribution to the work of PCU - To undertake training, when reasonably requested, to enhance the delivery of this job purpose and job accountabilities - Comply with data protection legislation and to maintain strict confidentiality and security in dealing with all information relating to PCU and its members, in accordance with PCUs policies and procedures - Have an understanding of PCU policies and procedures Essential Qualifications & - Experience in providing general administrative and financial clerical support Experience: - Analytical and able to multitask - Maths and English GCSE grade B or above (or equivalent) - Confident in using MS Office Package, proficient in Excel - Competent with IT systems - Excellent verbal and written communication skills, delivering a consistent and professional level of service at all times Desirable - Association of Accounting Technicians (AAT) Level 2 (or equivalent) - Understanding and appreciation of the Credit Union movement Benefits: Company events & social hours Bonus scheme Reference ID: FA/BHAM/MAR2020 Job Type: Permanent Salary: £18,685.00 to £19,694.00 /year Experience: Analytical and multitasking: 2 years (Required) Financial & Clerical: 2 years (Required) Education: GCSE or equivalent (Required)
