Organization and Job ID Job ID: 310431 Directorate: Earth & Biological Sciences Division: Atmospheric Sciences & Global Change Group: Earth Systems Analysis & Modeling Job Description The Atmospheric Science & Global Change (ASGC) Division is seeking an Administrative Assistant to support a large and diverse technical group. The successful candidate will report directly to the Group Leader of the Earth System Analysis and Modeling Group. The incumbent will work closely with the senior administrators and project coordinators in the group to facilitate and provide administrative support to team leaders and group members which consists of scientists, post docs and student interns. In addition, this position works closely with the ASGC Division office administrator and management team. Job duties and expectations include, but are not limited to: Act independently and with maturity of judgment and confidentiality to analyze communications and situational events and take appropriate actions to pass information to other authority levels, both internally and externally, consistent with expectations. Perform general administrative functions such as manage and schedule of calendars; provide professional consistent and reliable telephone coverage to assure clients and prospective client inquiries receive human engagement and timely responses; including track key action items, accept and reschedule calendar items. Create and maintain a strong network and establish positive working relationships within the ASGC administrative team as well as throughout the directorate and Laboratory. Make foreign and domestic travel arrangements which often include frequent in-travel disruptions, troubleshoot and coordination with the in-house travel representatives, and process related travel expense reports for domestic and foreign travel. Coordinate with key staff and other departments to make arrangements to host foreign and domestic visitors. Develop and/or format agendas, correspondence and other documents. Schedule and help with set-up/clean-up for meetings/seminars Update, maintain and track information release items. Solicit input weekly for internal newsletter along with information collected for sponsors. Maintain and manage P-Card, eProcurement, and B2B purchases. Minimum Qualifications High School diploma and 3+ years of progressively responsible administrative experience, or combination of education and experience. Must be able to: demonstrate proficient use of standard office equipment; demonstrate proficient use of MS Office Suite; prioritize work, and coordinate calendars/schedules; be responsible for commitments and action items. Preferred Qualifications Maintains a broad working knowledge of a wide variety of activities conducted by separate functions; Experience in providing administrative support for field deployments and/or complex equipment and facilities management; Must understand office support functions and possess the ability to effectively apply policies/procedures; Must be able to identify potential administrative problems/areas for continuous improvement, recommend solutions and assist with directing implementation; Must possess experience exercising a high-degree of sensitivity and confidentiality when dealing with business and personnel information, events and activities.
