WIC is the Special Supplemental Nutrition Program for Women, Infants and Children. This public health program is designed to improve health outcomes and influence lifetime nutrition and health behaviors in a targeted, at-risk population. What will you do? As the Administrative Specialist, you will coordinate contracts and procurement for the section. You will prepare authorization to purchase and purchase orders, monitor and track receipt and payment on all orders, process purchase orders using a SPOTS credit card, maintain SPOTS expenditure documentation, and process invoices for all purchases of special services and equipment for state and/or local programs including breast pumps and laboratory supplies. In addition, you will assist NHS program managers in preparing solicitation and contract documents including invitations to bid, and sole source documentation and maintain a monitoring system for contracts, including payments and end dates. Requested Skills Minimum requirements: Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR an equivalent combination of training and experience. Experience working with procurements and contracting to include tracking the progress of all procurements and contracts. Experience helping the public by phone with interpretation of regulations, rules and laws. Ability to work on and coordinate multiple tasks and projects at one time. Experience working closely and effectively with a diverse group of staff. Experience with State of Oregon procurements, solicitations and contracting. Knowledge of public health and the WIC program is desirable. Proficient in Word, Excel and Outlook. Experience promoting a culturally competent and diverse work environment.
