BOX OFFICE ASSISTANTS Reporting to: Box Office Manager Two Roles (One - FullTime, One Part Time) Contracted Full Time 38 hours are worked each week on a rota system, usually between 8.30am and 10pm, Monday to Saturday (inc Bank Holidays) with additional Sundays. Contracted Part Time hours - hours allocated on a rota system The Box Office is an integral part of the theatre’s Front of House and Marketing Departments. We also act as Box Office for various other venues. Main Purpose of the Role The Box Office Assistants are responsible for promoting Theatre Royal, The Playhouse and Stage Two and their facilities as the public’s first point of contact ensuring they deliver the highest levels of Customer Service at all times. Key Responsibilities * Process Ticket sales using our Box Office and Marketing software for Theatre Royal, The Playhouse, Stage Two and various outside venues that we manage the Box Office for. General reception duties when on Stage Two or Theatre Royal counter. Be up to date with all events and activities taking place in Stage Two. Book places on activities in Stage Two and take fee payments for courses and exams. Book visitors into Stage Two and ensure all visitors have authority to be in the building. Act as evacuation co-ordinator in the event of emergency. Office administration including post room duties, manual and computerised filing, customer correspondence, photocopying and stationery stocks. Maintain up to date customer literature stocks and displays. Be responsible for all transactions, ensuring accuracy and efficiency and for the reconciliation of takings. Handle special booking and membership schemes sold through the Box Office including “Friends of the Theatre”, “The Corporate Club” and our supporters. Develop group sales and maintain regular contact with organisations such as Social Clubs, Coach Operators, Schools etc. Be responsible for and continuously update the customer database, collecting valuable marketing information and being aware of advertisements and promotions. Keep up to date and develop own skills on our Box office and Marketing software as new procedures are introduced and maintain knowledge of venues, price structures and performances and attend Box Office Briefings.
