Closing Date: 03/02/2020 Secretary Central Office Summary: The Special Education Secretary will share the duties of the Special Services office with another department secretary to keep the office running efficiently and professionally. It requires one to have the ability to be a self-managed individual with strong communication skills. Proficiency in computers, strong attention to detail and the ability to work with parents and all levels of personnel throughout the district is necessary. Duties: 1. All necessary filing pertaining to the Department of Special Services including: maintaining confidential files for all students, removing inactive files, transferring to attic, maintaining for required length of time, publishing annual notice in newspaper regarding destruction of records, shredding in accordance with time requirements 2. Making copies and fulfilling requests for records by student, parents, or outside agencies. 3. Answering the phone, taking and relaying messages. 4. Corresponding with the bus company. 5. Arrange special transportation when necessary; both in and out of district. 6. Communicate with all members of department regarding meetings, etc. 7. Maintain schedules, staff directory, and class lists for staff. 8. Order supplies for office yearly and/or as needed. 9. Track and enter data for SEDAC-G, being mindful of December 1 and March 1 deadlines (all tuition, transportation costs, and fuel costs for out of district students). 10. Attend training if necessary to become proficient with use of State websites. 11. Maintain monthly balances for all purchase orders for out of district costs. 12. Under direction of department administrators, coordinate tutoring for homebound students or expelled students grades K–12. 13. Organize required paperwork. 14. Set up schedules with tutors. 15. Act as liaison between school and parents. 16. Arrange transportation. 17. Make notification of cancellations when necessary. 18. Schedule yearly annual review meetings and any other required or requested meetings. 19. Maintain files for all students placed out of district. 20. Keep lists of evaluation dates and meeting dates. 21. Coordinate with out of district placements for all meetings, generate and mail invitations. 22. After meetings, enter data into IEP Direct, file paperwork, mail to parents. 23. Maintain current lists of surrogates and request new ones when needed. 24. Maintain all DCF 603 forms. 25. Generate purchase orders for all tuition, transportation, and CREC evaluations. 26. Maintain monthly financial records for all placements, including special education students in magnet schools. 27. Generate and mail out contracts, get appropriate signatures; call for rates. 28. Organize CMT/CAPT Bubble sheets for entering accommodations into state web site. 29. Set up transportation for any out of district summer school. 30. Prepare membership day's state report due June 30 for all private placements. 31. Maintain student files for letters M – Z for in-district special education students. 32. Coordinate Zimmerman Scholarship with Naugatuck High School Guidance and Waterbury Connecticut Teachers Federal Credit Union. 33. Process all Occupational Therapy and Physical Therapy requests. 34. Process all purchase orders for outside evaluations/consultation, detention, vocational training, interpreting services. 35. Submit requisitions for middle and high school staff. 36. Prepare all information needed for completion of ED001. 37. Organize invoices, transportation and fuel. 38. Prepare revenue for any special education students attending Naugatuck schools from other towns. 39. Send referral packets to out of district placements. 40. Provide Naugatuck High School with transcripts for all out of district students in order to calculate credit status for graduation. 41. Generate purchase order and produce required paperwork for special education and non special educations in detention. 42. Process all Lion's Club referrals for assistance with eyeglasses through school nurses. 43. Be proficient at use of IEP Direct, including generating invitations, entering, finalizing and printing IEP's, sharing and transferring documents with other IEP Direct user districts. 44. Be familiar with the functions of Power School. 45. Collaborate with personnel responsible for PSIS. 46. Be proficient with use of UniFund/Budget Sense for entering requisitions and checking status of purchase orders. 47. Demonstrate strong computer skills, especially use of spreadsheets. 48. Maintain a positive working environment, treat all parents and staff respectfully, work in collaboration with business office. 49. Share duties of other department secretary, including timesheets, staff attendance, etc. as needed. 50. Any necessary supply shopping for special education programs or meetings. 51. Cover phone and receptionist's desk when requested. 52. Perform additional duties as required for efficient running of the Special Services Department as directed by department administrators Experience and Training: Experience in similar position preferred.
