HUMAN RESOURCES AND ENGAGEMENT ASSISTANT Location: NE/SE Calgary Employee Status: Temporary Full-time (1.0 FTE) to March 31, 2021 Reporting To: Human Resources Manager and Engagement Manager Date Available: April 6, 2020 Rate of Pay: To commensurate with qualifications and experience Closing Date: March 15, 2020 About Us Mosaic Primary Care Network (PCN) provides a wide range of primary health care services in the northeast and southeast Calgary communities in partnership with a group of family doctors. Position Summary The Human Resources and Engagement Assistant will work collaboratively with the Mosaic Primary Care Network Human Resources and Engagement teams in accordance to Mosaic’s policies and procedures. The HR and Engagement Assistant will help administer onboarding, recruitment, employee benefits administration, and maintain all departmental records, as well as engagement processes related to our physician members, employees and community stakeholders. The HR and Engagement Assistant will support the HR and Engagement teams and the organization by delivering on diverse administrative tasks. The HR and Engagement Assistant will demonstrate a high degree of confidentiality and maturity when handling employee and stakeholder information. Responsibilities Human Resources (60%) Responds to HR-related queries and policies and procedures outlined in the Employee Handbook. Coordinates and administers activities, while ensuring meticulous accuracy, related to new hires, changes and departures, following up with managers on outstanding documentation in a timely manner. Assists with the administration of performance evaluations, confirmations of employment, employment changes, etc. Provides recruitment support as required: Screens resumes Conducts phone interviews Processes and organizes reference and background checks Supports the benefits administrator such as reviewing employee benefits statements and, processes any required changes; prepares and sends out benefits forms to employees. Assist in the development and implementation of policies, programs and procedures. Administer the recruitment, selection and training processes in alignment with each department. Assists the HR team with employment programs, salary compensation and job evaluations, promotions and training programs. Drafts general forms, letters, reports, and memos as required. Responsible for filing and records management. Arranges meetings, including: taking and distributing minutes; connecting with stakeholders; preparing meeting packages; tracking action items; researching and coordinating information for reports and presentations. Communicates with external partners. Engagement (40%) Supports the Engagement team members with processes related to physician member sign-up, payments, communication and events. Maintains and ensures accuracy of physician member files including multiple electronic data repositories. Coordinates with the finance department to execute payments to physician members and supports resolution of enquiries. Creates and maintains documents related to physician membership including but not limited to data sharing agreements and membership binders. Activates employee and physician profiles on MPCN website and contact lists. Undertakes quality assurance of payment processes to identify duplicate or missed payments. Supports employee learning and development including Learning Management System administration and employee event activities. Other duties as required. Qualifications & Requirements Diploma in Human Resources Management, Business or related field plus three years’ experience in a Human Resources role or Certificate in Human Resources Management, Business or related field plus five years’ experience in a Human Resources role; CPHR designation is an asset. Possesses knowledge of provincial employment and privacy legislation. Possesses experience with HRIS systems. Formulates effective decisions based on sound data analysis. Proficient in standard office administrative practices and procedures, and business and management principles. Demonstrates ability to build strong working relationships. Operates with a sense of urgency, takes initiative and is a self-starter. Demonstrates excellent oral and written communications skills. Possesses strong organizational and customer service skills to effectively manage multiple priorities. Demonstrates high degree of professionalism, confidentiality and integrity. Proficiency in programs such as Word, Excel, Outlook with demonstrated ability to quickly pick up new systems.
