Job Summary: Lead position in records research. Complete complex research, statistical calculations, reports, directs and assists research clerks. This position is essential in providing assistance and coverage to the Real Estate Supervisor and completes complex departmental functions above the abilities of the general research staff. Job Responsibilities: Compile, maintain and distribute daily departmental statistics by interpreting reporting data. Collects statistics for annual budget narrative. Compiles reports to verify employee production and accuracy. Disseminate performance data for employees and identify errors to be corrected. Review contractor performance, identify errors, omissions or compliance issues and resolve. Determine and resolve software related issues with technology vendor related to the real estate archive. Supports the Real Estate Supervisor with supervision of staff, approval of time worked, time off and management of department projects, deals with complex situations and acts as lead when not backing up supervisor. Assist internal and external clients with complex research using an archive dating back to 1835. Using various formats of records, interpret data and form accurate conclusions. Assists elected officials, developers and professionals researching high value and controversial parcels. Oversee cashiering functions for Real Estate Research, and secures all daily receipts. Using advanced preservation and stabilization methods, repair and stabilize fragile, distressed and degraded historical documents and ledgers. Assess condition of deteriorated records and arrange for annual professional rebinding of at-risk documents. Review data entry to ensure accurate archival of recorded instruments. Make appropriate corrections based on standard policy and procedure. Create new policies and procedures concerning data entry standards to be followed by all staff in department. Provide service in person, in writing or over the phone regarding real estate inquiries, documents, recording standards and or office policies. Refers individuals to appropriate departments or agencies. Schedule appointments for in-depth historical research and create search guide. Maintain specialized equipment to ensure it operates at peak performance. Arrange for technical service and preventive maintenance as needed. Fix, clean and reassemble microfilm viewers on a regular basis. Repair and conserve microfilm jackets and microfiche. Perform other duties as may be assigned. Minimum Qualifications High School diploma or GED equivalent One year of professional experience working in Real Estate, Real Estate Finance, Title Work or Project Management. Experience working with Computers, Scanners, Cross Lock Tweezers, Plat scanner, Microfilm printer. Knowledge Skills and Abilities: This position requires considerable real estate knowledge with a focus on real estate law and real estate theory. Incumbent must have or obtain comprehensive knowledge of the real estate archive and local history. This position is a lead position and requires the ability to complete supervisory functions on a back-up basis. Incumbent must have the aptitude to learn how to use, maintain and administer a multi-format, multi-media historical archive.
