Job Title: Commercial Manager Location: Lucy Middle East, Jebel Ali Department: Commercial and Contracts Job Purpose Management of the back office Pre /post order processes related to customer contracts; including: Tendering, Contracts, After Sales Services, Projects and Logistics Management, and the delivery of fully engineered products and services, taking responsibility for on-time delivery to customer specifications. Additionally, to managing and undertaking responsibility for communications and interfaces for contractual and customer issues between the commercial business of Lucy Electric in the Middle East and the manufacturing operations on a daily basis, ensure correct and structured information is sent /received, while maintaining the technical interfaces. Key Accountabilities Logistics & Warehouse Monthly review freight forwarder rates Review LC wordings. Check LC presentations as required Check / sign invoices and warranty certificates Monitor inventory levels and initiate actions to reduce where possible Manage year end activities – stock take (Middle East & Kingdom of Saudi Arabia); stock adjustments; external audit requirements; TP’s Freight Out cost Forecast and Budget Ensure all dispatches including local dispatches proceed according to plan Customs liaison & resolution of issues including HS codes Tendering Commercial input as required for tenders/quotes. Assist in resolving any issues Participation in tender review meetings as required Review/approve TAFs Oversee introduction of configurator Contracts Ensure all contracts are as agreed with customer and as per company requirements. Ensure Order Book is correct at all times, regularly reviewed etc. Check / sign Proforma Invoices. Address customer issues as required. Review monthly penalty provision and challenge penalty claims/deductions by customers. Ensure costs are recharged internally where possible. Oversee creation of a "Contract" file, which includes a summary of all technical data relating to the required products and, where possible, designating an appropriate part codes (exact specifications) using models and options framework. Manage post-order process between customer and operating unit. This may involve contract review meetings with manufacturing plant; responsibilities include management of: shipping dates; - documentation - licenses, approval documents; ensuring contract drawings are submitted on time; obtaining customer approval of contract drawings; ensuring inspections are arranged in time for the contract to be executed in the required timescale; Assisting in post-contract customer discussions, both technically and commercially. This may require customer visits. Projects Oversee management of projects from tender stage through to TOC, PAC and FAC Tender stage review/agree T’s & C’s and other commercial requirements Understand insurance requirements and negotiate with insurance broker Review/comment subcontractor/supplier quotations. Draft and negotiate subcontracts Review Project Plan and ensure it is achievable Manage overall progress through design, manufacture, inspection, delivery, installation, test and commissioning. Monitor / control costs as far as possible Resolution of snag list and any other issues post commissioning through to issue of TOC Service Responsible for reviewing and achieving service budget. Checking monthly Forecast Facilitate new opportunities Ensure all customer complaints are recorded / resolved in a satisfactory and timely manner. Responsible for Customer Complaints management including driving complaints process including corrective actions, preventative actions and liaise with LOX and FZE and Implementation of QA procedures and reports Attend meetings with QA or customers to resolve quality issues Ensure service engineers adequately trained and follow all H&S procedures/requirements Health, Safety and Environment Responsibility for all HSE matters including office, warehouse, site and sub-contractor activities Chair HSE Committee meeting & produce MoM. Follow up on actions. Monthly Management and Board Report for Group Resolve HIT tickets / accident reports Emergency / fire drills Support / promote site Environment Objectives and global initiatives. Others: Assist the Sales team in identifying & developing potential local Licensees. Provide commercial support to local regions as and when required Review and maintain Risk & Opportunity / Interested Parties Needs and Expectations Registers AX issues / development Internal audit participation, resolution of NC’s etc. Ensure all commercial department ISO processes are up to date and being followed. Attend external audit meetings. To undertake any other duties and responsibilities as required / instructed in order to maintain and / or improve the efficiency, quality and service provided by the company. Ensure all activities are in compliance with the standards and the region laws that govern Lucy’s scope of work. Comply with all company policies and procedures and maintain confidentiality of information relating to the company’s business and staff. Job Context The position is responsible to: Advise, review, comment and/or draft contractual agreements as necessary, including customer T’s & C’s, bank guarantees, LC’s, subcontractor agreements, sales representative agreements, distributor agreements, NDA’s, LOI’s, MOU’s S&OP – review & set monthly target. Attend monthly S&OP meeting. Monitor progress and initiate necessary actions to achieve target Tender/quotation risk analysis as required. Completion of Risk Hopper Ensure Middle East activities meet with local and Group compliance requirements Budget setting and budget narrative /presentation Monthly management report – develop KPI reporting Cost reduction/control initiatives Performance / training reviews and objective setting Organise Leave Plans and ensure all leave in correctly recorded in Oracle Support cash collection as required Middle East point of contact for measuring Customer Satisfaction initiative Check / sign expense claims Qualifications, Experience & Skills Minimum Qualifications and Knowledge: - The ideal candidate will have Structured contract management and commercial training Minimum Degree Required Electrical, Civil or Mechanical Engineering Degree Fluency in English language, contract law and terms and conditions. (Arabic Language is an advantage) Excellent communication and negotiation. Minimum Experience: At least 5 years of experience in in managing large contracts within the electrical industry (within UAE and GCC) Job-Specific Skills: Good financial understanding Ability to prepare budgets, forecasts and Management Reports. Technology integration capability—able to articulate technology (product, process, application, discovery) in business terms Sound knowledge of H&S and its practical implications. Sound knowledge of Service Revenue Generation. People management skills in a multicultural environment Organizational skills. Computer literate with excellent command of Microsoft package and project planning tools.
