Intake Administrative Officer Peakhurst location 12 month Part Time contract with a view to become permanent Supportive team environment We have an exciting opportunity for a customer focused Administrative Officer to provide professional and seamless service to our highly committed and professional team of Customer Care Consultants. Reporting to the Senior Customer Care Consultant, this is a varied and fast paced role supporting approximately the Learning Links Intake / Customer Care team. You will work 25 hours per week over 4-5 days at times. The role is to commence as soon as possible. Responsibilities: The responsibilities in this role will include: Provides administrative support for the intake team in relation to all aspects of the client booking process Prepares and monitors return of quotes for clients and other providers Monitoring and following up the return of required client documentation Provides specific administrative support in relation to NDIS clients including, Prepares accurate client documentation including NDIS Service Agreements and Schedules of Support Lodging service bookings in the NDIS portal Liaising with clients regarding their NDIS plan expiration and funding amounts Liaising with the intake team regarding any NDIS payment claims Ensures internal and external customers are treated with respect and attended to in a timely fashion. Provides external customer support which includes: Using the Customer Data Base (Salesforce) and related systems. Maintaining a safe, secure, clean and tidy site that presents our Learning Links’ brand to our customers in best possible way. Follows organisation and team processes and procedures and suggests and contributes to changes in processes and procedures to improve our ways of working. Essential Criteria At least 3 years’ experience in customer service and administrative roles; Exceptional customer service and people skills with a strong ability to effectively manage conversations to achieve outcomes; Demonstrated high level of proficiency and initiative in scheduling people and resources; Demonstrated high level ability to accurately and efficiently plan, execute and record complex administrative tasks; Demonstrated time management and organisational skills with ability to manage and prioritise own workload and competing priorities in a busy work environment; Effectively and harmoniously work in a team environment; Excellent verbal and interpersonal communication skills; and Demonstrate an effective understanding and use of multiple IT platforms e.g. word, excel and outlook.
