POSITION SUMMARY: The Facilities Officer will support the Property & Facilities Manager in the smooth running of a growing multi-site organisation and the provision of related administration and facilities support as required. PRIMARY RESPONSIBILITIES: Supporting the Facilities management function and the supervision of various services provided by contractors. Ensuring all Health & Safety documentation is received pre and post completion of the proposed project(s). Liaising with the (P&FM) in the directing, coordinating and planning essential central services such as reception, security, maintenance, mail, and cleaning, Supporting the Property & Facilities Manager in the opening / re-location of Jigsaw hubs. Liaising with the Property & Facilities Manager in preparing documents for e-tenders. Working in conjunction with the (P&FM) regarding the building and maintenance contracts. Liaising with the (P&FM) in respect supplier relationships and sourcing of competitive quotes. Managing office and mobile phones of Jigsaw sites and troubleshooting any issues. Working closely with the Property & Facilities Manager in developing and implementing PPM schedules for our portfolio. Carrying out daily health and safety checks and addressing any issues promptly. Assisting with any incidents or alarms which may occur at Jigsaw Hubs. Assisting the (P&FM) in respect of the quality of service provided by external suppliers and ensuring value for money. This role also requires the ability to travel for work and the willingness to work occasional evenings and weekends, as required. Requirements KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED: Essential Criteria: A qualification in Facilities Management Three years' experience managing a variety of tasks with experience in supporting a team within a facilities management environment. Excellent organisational, analytical and facilities management skills. A full clean driving licence. Computer literacy such as MS Word, Excel, PowerPoint, and Outlook. Excellent communication skills and the ability to work with a range of professionals. Passionate about young people’s mental health and achieving change in Irish society. The capacity to work both on their own initiative and as part of a small team. Ability to prioritise workload and maintain a structured service delivery. Desirable Criteria: A recognized health and safety qualification would be an advantage. Project Management experience would also be desirable. Benefits The salary range for this role is €30,000 - €40,000, commensurate with skills & experience.
