Summary Employee in this position is responsible for providing clerical and administrative support to the Public Works/Road Departments. Job Duties Perform clerical and secretarial functions, such as typing, filing and general office duties, dispatch: prepare and distribute a variety of reports. Maintain and update files including insuring quality of finished product. Process requests for use of County right of ways by private organizations including coordinating traffic control with the Sheriff's Office, and maintenance activities with the area Road Shop Supervisors. Prepare deposits and submit applications for access permits for department. Schedule and handle necessary paperwork for testing and training of all office and shop personnel and other departments as necessary including reserving hotel rooms, and making travel arrangements. Coordinating training required by more than one office, e.g. hearing tests. Schedule and handle necessary paperwork for inter-office safety committee meetings. Perform right of way research. Substitute for Public Works Administrative Assistant and other Road Department administrative assistants when needed. Process various claims for damages Perform other tasks as directed. Knowledge, Skills & Abilities Valid Washington Drivers License. Ability to perform excellent customer service. Maintains a high standard for accuracy, completeness and efficiency in the preparation of reports. Ability to quickly grasp new techniques, deal with rapid changes in events, remain calm in stressful situations, relate to various personality styles in a calm, professional manner. Effectively communicates with others for purposes of gathering and relating information. Understands the need for maintaining confidentiality of sensitive information. Independent and self motivated to complete required deadlines while simultaneously completing other tasks. Familiarity with general office machines, word processing, computer programs such as spreadsheets. Ability to send and comprehend survey maps, short plats, zoning maps, wetland overlay and boundary line adjustments. Ability to analyze data shown on quarter section maps and legal descriptions. Education, Experience & Certifications High school diploma or equivalent, and as otherwise indicated. Prior experience in general office work and/or secretarial work is required. Ability to successfully complete various required training classes and obtain certificates necessary for functional skills performance, maintenance and improvement.
