I. POSITION INFORMATION Position title: Project Assistant Position grade: UG Contract Duty station: Manama, Bahrain Seniority band: III Job family: Programme/Admin Support Organizational unit: MPA Reporting directly to: Head of Migrant Protection and Assistance Overall supervision by: Chief of Mission – Bahrain Managerial responsibility: N/A Directly reporting staff: N/A Duration: Nine months with a possibility of an extension II. ORGANIZATIONAL CONTEXT AND SCOPE Under the overall supervision of the Chief of Mission and the direct supervision of the Head of Migrant Protection and Assistance in Bahrain, the incumbent will be tasked with providing administrative and technical support for the project: “Bahrain Centre of Excellence Training of Trainers on the identification and referral of potential victims of trafficking in persons”. The project seeks to provide support to the Regional Centre of Excellence (RCoE) through the provision of capacity building and the development of strategic resources that would accompany the RCoE in the short, medium and long term. III. RESPONSIBILITIES AND ACCOUNTABILITIES In particular he/she will: 1- Provide administrative, logistical, technical and operational support to events, workshops and resource materials planned under the projects, ensuring close coordination with relevant counterparts; 2- Prepare meeting agendas, minutes of meetings and other project correspondence; 3- Assist in coordination and follow up with the Regional Office in Cairo and other IOM country and satellite offices participating in the project, to ensure effective and timely implementation of activities; 4- Organize the translation of project related documents, maintaining a high quality; 5- Support the monitoring and evaluation framework for project implementation; 6- Assist in preparing and ensuring timely and quality preparation and submissions of all project reports according to IOM and donor formats as required; 7- Maintain a detailed e-filing system for all project documents, in anticipation of any internal or external audits, in accordance with IOM rules, as well as donor auditing requirements; 8- Prepare/request travel authorization, security clearances, DSA and travel expense claims as required by project staff and consultants; 9- Participate in seminars, visits, assessments and other meetings as requested by the Head of Migrant Protection and Assistance; 10- Participate in MPA team meetings and work closely with other MPA project assistants to ensure complementarity and consistency across the GCC countries; 11- Contribute to the design and development of new projects related to Migrant Protection and Assistance, in line with IOM guidelines; and 12- Perform any such other duties as may be assigned. IV. EDUCATION AND EXPERIENCE University degree in Business Administration, Development Studies, International Relations and/or Law, or in a related field Minimum three years of relevant experience Previous experience with an international organization or Migrant Protection is an advantage Demonstrate strong experience and knowledge of administrative processes High level of computer literacy (MS Office Word, Excel and Outlook) VI.
