JOB SUMMARY: Responsible for the receptionist area greeting visitors, vendors, staff and applicants in a professional and helpful manner. Answers multiple phone lines promptly and courteously, routing calls to the appropriate staff. ESSENTIAL JOB RESPONSIBILITIES: Include the following. Other duties may be assigned. Operates computerized phone system answering the telephone in a polite and courteous manner (never on speaker phone) providing information to callers and routes calls to appropriate staff with accuracy. Greets visitors, ascertains nature of business and directs visitors to appropriate person. Prepares incoming/outgoing mail for all companies, tracking postage costs to appropriate department. Responsible for preparing confidential employee phone lists for management monthly; voice mail lists monthly; monitoring box numbers, ensuring proper additions/deletions are accurate. Ensures employment applications are complete and all required information has been submitted. Maintains up to date receptionist manual of standard operating procedures. Maintains security by logging in all vendors and visitors, tracking times in and out, and reviews work orders prior to contacting appropriate employee/department to escort them to their destination. Remains in receptionist area at all times to ensure highest levels of customer service unless coverage is provided, including bathroom breaks. Trains volunteers and staff who provide reception coverage. Assists Human Resources Director and Human Resources Coordinator with special projects as directed. Compiles and extracts statistical postage report for Finance. QUALIFICATION REQUIREMENTS: High School Diploma or GED required. Minimum of (2) two years clerical/receptionist and answering multi phone line experience. Ability to read and interpret general instructions and office procedures as well as documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to solve practical problems and deal with a variety of concrete variables Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to operate a facsimile, copy machines, computers and other common office machines, with working knowledge of MS Word, Outlook, Excel and other software appropriate to positions. PHYSICAL DEMANDS/WORK ENVIRONMENT: While performing the duties of this job, the employee is regularly required to sit; walk; use hands to finger, handle, or feel objects, tools, or controls; stand and reach with hands and arms; to talk and hear. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Ability to communicate with customers and provide feedback. Frequent use of hands and arms to reach, lift, carry and move objects. Specific vision abilities required by this job include close vision, distance vision, and color vision. Always works inside. Noise level in work environment is usually moderate. 8:00 am - 5:00 pm M-F 40 hrs/wk
