The Role Working in a fast-paced environment, you will have a role as team assistant, supporting our team (circa 90 people) with expense reports, meeting logistics as needed and travel booking. In addition you will provide dedicated and efficient PA support. But don’t suppose you’ll just be sitting in the corner doing the admin, this is a ‘hands on’ role. Whilst you may be sorting out the diaries, booking in meetings or fixing the office printer, you’ll also be arranging (and of course attending) events, keeping the team up to date on their performance statistics and responding to all manners of ad-hoc requests from the team – it’s safe to say no two days will be the same. If you like having lots of responsibility then this could be the perfect role for you. You’ll never be sat down for long, but you’ll definitely be having fun along the way. You will need to have a “sleeves rolled up” attitude, willing to get stuck in and get stuff done, however big or small. Key Responsibilities Complex diary management (Outlook), including ever-changing schedules and coordinating internal and external meetings, lunches and dinners Managing complex, and often last-minute, international travel and accommodation arrangements, including preparing travel itineraries and preparing and submitting expenses and invoices Preparation for meetings including room arrangements, agenda, actions and accurate documents and complex PowerPoint presentations and Excel Files along with other regular meeting packs and attend to minute these meetings as required, ensuring the according information flow to all participants, including circulating important documents ahead of meetings Handling confidential information Organising/preparing/amending documents, reports and presentations in an accurate manner Administration of the necessary desk arrangements and stationary needs within the team Meeting and greeting visitors at all levels of seniority Assisting in the coordination of corporate events, team events and trainings. Come up with ideas for events and small activities to keep the team engaged Make sure we are compliant with office rules, health and safety, evacuation procedures and assist office team with drills when needed Provide a high standard of PA support Key Requirements: Must haves: 2 years’ experience as assistant (team assistant; personal assistant;…) within a large team preferably in an operational environment Excellent level of English (written and spoken), Portuguese is a plus but not essential Advanced working knowledge of Microsoft Word, Excel, Outlook and PowerPoint Proven experience in analysing data and different statistical numbers including ability to update reports and maintaining operational files up to date as per your manager’s request Excellent attention to detail, organisation and prioritization skills Ability to work under pressure, juggle lots of work and changing priorities whilst remaining calm and effective at all times and maintaining excellent attention to detail Demonstrable experience of working on confidential matters and the ability to be tactful and discreet Experience of managing stakeholders at all levels and be able to prove you can bring people with you Ability to work without unnecessary oversight, to plan ahead and make accurate judgement calls Personal qualities Adaptable, flexible and willing to help others with a “can do” attitude A great communicator, approachable and enthusiastic who can work with people at all levels Ability to pick up new tasks with ease Ability to supervise own workload and be self-motivated Ability deliver toward deadlines and to prioritise Professional attitude and approach Flexible attitude to working hours and travel, as required Diversity and flexible working at Hiscox At Hiscox we care about our people.
