Administrative Assistant Exchange Technology Services – Winnipeg, MB We are a fast-growing Winnipeg based IT consulting firm, working in the Aviation, Communications, and Manufacturing industries. We provide a wide range of Managed IT, Project Management, Business Intelligence, and Telecommunications services across Canada. Key Duties: The Administrative Assistant is responsible for providing administrative services to the President as well as supporting the rest of the ETS team. This position serves as a first point of contact for matters related to the administration of the company including assistance in managing incoming inquiries and other day to day operations. This position will liaise and maintain strong, effective communications with external and internal members, and various organizations. This role requires exceptional communication and customer service skills in a fast-paced and high energy environment. The position is also responsible for: Assisting the President in day to day activities including the coordination and management of meetings and schedules, email management and other general office duties Responsible for the Procurement process utilizing Connectwise Manage software platform Assist in the formatting, preparation and proof-reading of documents for proposal submissions, internal and external reports, and other related documents Coordinating meetings, including booking rooms, teleconferences, preparation of material and binders Coordinating travel arrangements, presentation and document development Administering vacation records for the ETS group Manages administrative budgets and advises on administrative spending Prepares and/or delivers a wide range of services as it relates to activities within ETS, meeting departmental standards of timelines, accuracy, quality and other administrative duties as assigned Responsible for organizing promotional material, catering, office supplies, business cards and a range of items relating to office management duties. Responsible for the update and maintenance of various distribution lists internally and externally Handle day-to-day operations and specific tasks in a fast-paced environment Other duties as assigned Required Competencies/Qualifications: Exceptional ability to manage time and handle multiple tasks and priorities Excellent communication and interpersonal skills, superior telephone manner, maintains a professional, composed manner when interacting with internal and external customers Flexible and adaptive in response to changing team need Demonstrated experience and solid understanding of superior professional customer service in order to interact with a full range of stakeholders Complete tasks in a professional and timely manner, producing a high quality and accurate results Responds quickly and appropriately under a variety of situations.
