Position: Existing Position Status: Permanent Hours Per Week: 35 No Months Per Year: 12 Rate of Pay: $44,088-$62,316 Empl Group: Unifor The job is an integral part of the unit and is the first point of contact representing Transportation Services and Edmonton Catholic Schools. The job provides customer service support and is responsible for interpreting various guidelines and policies for all client groups; utilizing routing software and other technical databases and applications; reconciling account data; responding to inquiries from several different areas and initiating and finding solutions to transportation issues. Although the job is part of a team of customer support staff within the unit, each team member is expected to be able to work with limited supervision. Job Responsibilities: Respond to parent and school inquiries received via phone calls and e-mails; Interpret and explain Division policies and regulations; Explain processes and procedures and disseminate information on day-to-day operational issues; Follow up to ensure problems, issues and concerns are addressed; Work with contracted carriers; initiate and direct carriers in corrective action to address issues; Address emergent situations using established protocol and procedures, or take decisive action when no prescribed procedures exist; Maintain documents for follow up by General Counsel or Community Relations Services; Process applications for regular fixed and kindergarten routes; Enter data and maintain student information into a routing database; Collaborate with carriers to ensure compliance with safety regulations; Communicate with parents and schools through electronic systems; Post information on the Division website including the Delay Board; Update website information to ensure accuracy and effective communication; Collect and maintain information in compliance with the reporting requirements for carrier evaluations; Order monthly bus passes monthly through the ETS on-line system; Distribute bus passes to schools and collect associated revenue; Reconcile bus pass sales revenue with financial data; Review, validate and prepare adjustments to carrier billings; Work with Financial Services to ensure accounts payable and budget transfers are in compliance with policies and procedures. Qualifications: Diploma in an area related to planning or business administration, plus five years’ related experience; Knowledge of Division transportation system and City of Edmonton road system; Working knowledge of routing software and required program code; Knowledge of basic accounting principles, Financial Services policies and procedures; Knowledge of Microsoft programs including Office 365, Word, Excel, Outlook and Internet Explorer; Knowledge of Freedom of Information and Protection of Privacy (FOIP) Legislation specifically related to records management; Knowledge of Workplace Safety and awareness of Occupational Health and Safety (OHS) regulations; Knowledge of electronic student records system; Knowledge of Division and department policies and procedures; General knowledge of the Division’s operations and programs; Strong verbal and written communication skills; Strong interpersonal skills with the ability to communicate technical information to a group of diverse clients; Ability to develop and maintain contacts with school and Division staff and clients, requiring tact and courtesy; Strong time management skills and the ability to work within deadlines and balance competing priorities; Good teamwork skills with the ability to work in collaborative environments and to develop and maintain relationships Good negotiation and conflict resolution skills with the ability to reach a consensus; Strong attention to detail and the ability to work with numbers; Flexible with the ability to work a rotating schedule outside of core hours to ensure goals, objectives and deadlines are met.
