This is a contract position till February 2, 2021 Job Purpose Provides administrative and clerical support for the Chief Human Resource Officer, Senior Manager, Human Resource Services, the Manager, Employee and Labour Relations and the Sr. Academic Advisor, HR to assist in the efficient, timely and responsive operations of the department. May carry out/coordinate special assignments and tasks as directed and provide guidance and direction to departmental staff regarding administrative functions, office procedures and corporate policies. Accountabilities PROVIDES ADMINISTRATIVE SUPPORT: Assists in the daily operations, planning, implementing, directing and maintenance of the Human Resources department. Provides a wide range of administrative and logistical support to coordinate, schedule and proactively organize itineraries and calendars, filing system, internal meetings, workshops, events, conference calls, and special projects. Responds to calls, requests or inquiries from various stakeholders, including customers (i.e., administrators, staff members, union leaders) and ensures that requests for action and appropriate information are prioritized, delegated, acted on and replied to in a timely manner. PROVIDES ADMINISTRATIVE SUPPORT FOR SPECIFIC HUMAN RESOURCES ACTIVITIES, including retirements, gratuity payments, etc. and coordinates related correspondence with financial institutions. LIAISES WITH INTERNAL AND EXTERNAL STAKEHOLDERS: Provides high-quality, professional customer service to DDSB employees, external partners and the public. Interacts with DDSB departments (e.g., Communications, Accounting, Payroll) and external customers including applicants, Federations and Unions and other associations to collaborate and resolve issues to achieve the best outcome. Coordinates responses, prepares correspondence and communicates with others to ensure accurate and timely communication of information. CONTRIBUTES TO BUDGET MANAGEMENT: Assists and/or prepares the department's administrative operating budget, including budgets for special projects. Ensure the timely advice, information and reports are available to support discussion and decision making.Processes daily accounting activities and reconciles issues to ensure that operational accuracy, compliance and efficiency is maintained. MANAGES INFORMATION AND DOCUMENTS: Researches, produces, monitors, tracks, updates and maintains sensitive information, data, records, personnel files, schedules, lists, letters, documentation for meetings, department communications, provide follow-up and updating as required. Prepares and/or assists in the preparation of documents, presentations and reports, and distributes to the appropriate parties in accordance with established standards, and/or for approval. Maintains highly confidential documents for individual personnel files. OVERSEES PURCHASING FOR DEPARTMENT: Assists in handling purchase requisitions/shipment details to ensure that they are forwarded to the right party for actions and approvals. Prepares, verifies and documents purchase orders and any other procurement/logistics documentation (invoices, delivery terms etc.) for the department to ensure execution of procurement/logistics needs in line with processes and procedures. LABOUR RELATIONS SUPPORT:Tracks, organizes and coordinates labour activity including grievances, labour management meeting minutes, and collective bargaining.Coordinates schedules and identifies key timelines for responses and ensures calendar invites are monitored and updated as necessary.Conducts preliminary research on grievances as assigned.Maintains all records and systems related to labour relations requirements. SUPPORTS TEACHER CANDIDATE PLACEMENT SYSTEMS: Assists in the administration of streamlined TC placement practice including collaboration with University partners, DDSB Equity and Recruitment teams, and Student Success. Fulfills the requirements of ongoing University requests with an understanding of Associate Teacher positions/roles and School/Administrator familiarity. Effectively communicates the completion of University placement requests (via spreadsheets) and DDSB letters of confirmation to Associate Teachers and Administrators.Meets the needs of ongoing changes in a timely manner. Participates as a member of various project teams as required, conducting research, providing administrative support, etc. Other duties as assigned. Knowledge and Skills Ability to use standard office equipment with a high degree of proficiency including personal computers/laptops, photocopiers, fax machines, shredders, scanners etc., and office automation software such as the current version of Microsoft Office Suite, internet browsers etc. Knowledge of relevant legislation, policies and procedures relevant to the collection, recording, storage, security, distribution and disclosure of information. Experience in working with collective agreements. Planning and organizing skills to organize, prioritize and, where applicable, delegate work activities. Exceptional written and oral skills to document and communicate contentious issues. Ability to collect, record and maintain accurate, detailed, relevant and logical notes, files and information. Conflict management and resolution skills. Education and Experience Education Completion of a college diploma in a related discipline (Business or Office Administration or Human Resources) or a combination of education, training and experience deemed to be equivalent.
