Support Staff Full-time Reclassified Replacement Position (Full-time Support Staff will be given first consideration) Responsibilities: Under direction of the Supervisor, the Information Specialist manages and maintains all Facilities related data and information systems, drawings and specifications, and municipal documentation including Fire Safety Plans. The incumbent maintains a building inventory system, both computerized and hard copy, to assist in the redevelopment of existing spaces and provides information and detailed reporting as necessary. This individual is active in health and safety planning and accident prevention by adhering to procedures and safe work practices, as required, and in accordance with relevant Health and Safety legislation and regulations as well as Conestoga’s safety policies. Maintains the Colleges Ontario Facilities Space Inventory (COFSI) database Obtains space changes from Construction Services Ensures accuracy of drawing measurements (as-built) Ensures database is updated monthly Provides input to COFSI reports to Colleges Ontario and various Ministries Maintains as-built drawings database Obtains changes, additions, and new build as-built drawings from Construction Services Ensures all digital and hard copy Facilities related drawings are up-to-date Facilitates and maintains asset management database updates (VFA) Supports the yearly audit of Facilities assets through outside audit consultants Reviews audit information for accuracy and completeness Updates non-audited asset renewals to database independently or through coordination with Consultants Provides reports for presentation to Supervisor, Senior Management, Board Committees, etc. Provides other required reporting which includes benchmarking Fire Safety Plans Keeps current and submits annual Fire Safety Plans to authorities having jurisdiction for all owned and leased buildings Space Management System (Archibus) Keeps all drawings up-to-date within the system Ensures all drawings are polylined for use within the system Supports Construction Services department by providing current and accurate data and information and occasionally provides drawing services Property information data Updates and maintains information for Conestoga’s owned and leased properties including legal surveys, topographical surveys, storm water management studies and information, etc. Supports zoning and site plan applications by Conestoga and hired Consultants Qualifications: Three year Diploma/Degree in Building Engineering Technology, Data Management and Analytics, Business Management, or Programming Three years of practical experience with data management, principles, and methods Excellent computer skills including Microsoft Excel, Access, and AutoCAD Analytical skills with a very high attention to detail Advanced organizational, interpersonal, and communication skills Apply Now
