Job Summary The purpose of this position is to provide administrative support to the Municipal Court Judges within the City's Judicial Department. This is accomplished by performing various administrative duties; project management; and completing special assigned projects. Other duties may include completing departmental specific functions. Essential Job Functions Perform administrative duties that are directly or closely related to the management or general operations of the Municipal Court such as: maintain, inventory, and purchase office supplies and equipment; monitor budget and expenditures; research, compile and distribute various reports or documents; project management; management of special programs or benefits; research, compile and prepare budget documents; and make policy recommendations to Presiding Judge (department manager). Perform duties requiring the use of discretion and independent judgment such as serving as liaison to both internal and external customers; advising customers and assisting in resolving complaints; screening telephone calls for the Presiding and Associate Judges; and planning, organizing and coordinating special events. Scheduling duties including maintaining calendars for full time judges (2); schedule and maintain the Court's hearing and trial dockets and notify necessary parties; and schedule alternate judges for arraignments and trial/hearing/queue work at the Court from time to time. Perform administrative duties including all functions related to departmental payroll, vacation and sick leave; departmental budgeting process, tracking time of alternate judges and requesting monthly checks. Perform court administrative duties to include tracking statistics related to arraignments, arrest and search warrants, EPOs, and juvenile cases; mailing or emailing copies of EPOs on a timely basis to all statutorily required parties; serving as records custodian for arrest, search and DWI blood warrants and responding to requests for same; preparing quarterly statistical reports for the City's Public Safety, Health and Environment committee. Interface and work with other city departments such as police, fire, code, animal services, city prosecutors, marshals, CMO, accounting, purchasing and budget. Minimum Qualifications Education: Work requires knowledge of a specific vocational, administrative, or technical nature which may be obtained with six months/one year of advanced study or training past the high school equivalency. Junior college, vocational, business, technical or correspondence schools are likely sources. Appropriate certification may be awarded upon satisfactory completion of advanced study or training. Experience: Over three years up to and including four years Valid Texas Class C Driver's License Ability to read papers, periodicals, journals, manuals, dictionaries, thesauruses, and encyclopedias. Ordinarily, such education is obtained in high school up to college. However, it may be obtained from experience and self-study. Ability to deal with system of real numbers; practical application of fractions, percentages, ratios/proportions and measurement. Ordinarily, such education is obtained in high school up to college. Ability to write reports, prepare business letters, expositions, and summaries with proper format, punctuation, spelling, and grammar, using all parts of speech. Receives general direction: The employee normally performs the job by following established standard operating procedures and/or policies. There is a choice of the appropriate procedure or policy to apply to duties. Performance is reviewed periodically. Does research for documents, compiles data for computer entry, and/or enters or oversees data entry. Has responsibility for monitoring budget expenditures (typically non-discretionary expenditures) for a work unit of less than department size (programs, activities, projects or small organizational units). Work requires analysis and judgment in accomplishing diversified duties. Requires the exercise of independent thinking within the limits of policies, standards, and precedents. Work may require providing advice to others outside direct reporting relationships on specific problems or general policies. Contacts may require the consideration of different points of view to reach agreement. Elements of persuasion may be necessary to gain cooperation and acceptance of ideas.
