You could play a key role supporting CCRC’s Mission! General Summary: With supervision provided by the Creative Services Manager, the Creative Services Assistant supports Communications Department staff with professional administrative support, project management, billing, invoicing, budgeting and reporting, and other tasks as assigned. This position requires a high level of organizational skill, teamwork, and detail awareness in a fast-paced environment. Key areas of responsibility include the ability to: Administrative (40%) Provides high level administrative support to Communications Department staff (specifically Creative Services and Creative Bridge staff), such as answering multiple phone lines, extensive data entry and reporting, email/written correspondence, file organization, etc. Customer Support (40%) Provides internal and external customer support that may include order entry, coordinates price estimates, invoicing, and payment collection following department and CCRC policies and procedures. Works to solve issues creatively and effectively, providing timely communication and follow up as needed. Budget Responsibilities (10%) Completes credit card reconciliations, department check requests, and other paperwork accurately and on time. Keeps department members informed on budgeted vs. actual expenditures. Meetings & Events (10%) Schedules and, when required, attends internal and external sales, staff and customer meetings. Assists with production of internal and external agency events, as required. Non-Essential Duties & Responsibilities These duties include tasks that are required, but currently comprise of less than 5% of the daily workflow for this job: Builds successful working relationships with CCRC staff and leadership. Performs other duties as assigned. Job Requirements: Minimum high school diploma or equivalent, and at least three years’ relevant administrative support experience. Experience with QuickBooks or similar software is preferred. Experience with Adobe Creative Suite is a plus. Excellent oral and written communication skills. Meticulous attention to detail and strong proofreading capabilities. Ability to thrive in a fast-paced, deadline-driven, team environment. Ability to independently problem solve, prioritize work, and use sound judgment in decision making, when needed. Ability to seek support of supervisor, when needed. Self-starter with strong collaborative skills. Excellent computer skills to include knowledge of online research, advanced Microsoft Office Suite skills, and database management experience. Must be able to lift 50 pounds and have the ability to work non-traditional work schedules, which may include early mornings, evenings and Saturdays.
