Insurance Coordinator DEPARTMENT: Local Practice REPORTS TO: Team Lead FLSA STATUS: Non-Exempt PREPARED DATE: June 1 2018 JOB SUMMARY: The Insurance Coordinator communicates with insurance companies, insured patients, and other team members in the dental office to ensure correct insurance information is provided and verified in a timely manner. This position is responsible for verifying insured patients’ information is current, and ensuring the details of dental benefits are properly entered into Open Dental in order to help provide the patient with accurate financial estimates for their treatment plan. ESSENTIAL FUNCTIONS: Audits all patient accounts from the previous day to ensure documentation is correct, paperwork is completed, the patients leger reflects the actual services rendered Take appropriate write offs and adjustments as discussed with the office Team Lead. Bill dental insurance Responsible for creating dental claims the day services are rendered. Ensure all treatment plans are completed and presented to patients; inclusive of all treatment plans the patients were unable to wait for while in the office. Explain the treatment plan details, address patient concerns and answer any questions. Assist the patient in prioritizing the treatment and establish a plan for scheduling and payment. Ensure all pre-authorizations are sent to the insurance companies and are tracked and followed up on in a timely manner. Build trust, and understand the patient’s objectives. Conduct financial consultations with all new patients and with existing patients when new treatment plans are presented. Manage and maintain the payment options and policies for patients to uphold the practice’s financial integrity. Understand the practice’s policy on working with dental benefit plans and be prepared to educate patients on their dental benefits. Oversee and track dental benefit plan accounts receivable and follow-up on claims regularly for claims 1 to 30 days old from date of service to ensure timely payment. Communicate with all outside and third-party financing companies offered to patients and educate patients on the available outside financing options. Assist in Practice’s collections protocol for all outstanding balances. Billing Report Manage Promise to Pay Payments DentalExchange Manage Unsent Primary Claims Scan EOBs and Checks to the central posting Manage denials resubmistion FOS Support Perform general office duties and other duties as required. Key Performance Indicators include, but are not limited to: 28 Days of Sales Outstanding 90 day collections 70% total QUALIFICATIONS: To successfully perform the job responsibilities for the position of Insurance Coordinator, an individual must be able to perform each essential duty satisfactorily. Has excellent relationship and rapport building experience with the ability to communicate clearly and present information with patients in person and on phone conversations. Knowledge and experience with dental treatment plans and insurance requirements. SKILLS: 1+ years of previous Dental Insurance Coordinator experience. Computer proficiency including Microsoft Office Suite and the ability to learn new programs. Ability to use sound judgement, demonstrate independent thinking, and provide recommendations to manager Ability to collaborate and demonstrate a teamwork approach to job responsibilities Ability to demonstrate initiative, dependability and promptness. Ability to perform frequent repetitive work with attention to detail. Ability to exercise confidentiality with patients and patient care. Ability to listen attentively for clarification to ensure accurate communication of information with dental benefits representatives and patients. Ability to communicate both verbally and through patient chart/screen notes with both front desk and clinical as needed. Ability to read and interpret documents such as safety rules, procedure manuals, and written correspondence. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
