Role overview: The Bid Coordinator / Content Specialist (known internally as Knowledge Manager) owns and supports the end to end bid content process and and collateral management to ensure well written, accurate and appropriate content and answers is available to the majority of questions and ITTs/ RFI’s required by customers. They will be responsible for expanding the current CMS/ knowledge library (Qvidian) by engaging with the relevant subject matter experts on new content and to provide future guidance on process improvement and the transition to a new CMS platform. Key Responsibilities: Responsible for editing, maintaining and expanding the content in the Core UK section of the Global Tender and Proposal Database. To manage the local subject matter experts to ensure that content is submitted and updated on a timely basis. Ensuring that all database content is up to date and accurate. Support the continual development of Proposal Tool content. Be responsible for local Document Architecture to ensure the user interaction continues to be fit for purpose. Own and define the Core UK database structure to ensure users can find information in a logical and timely manner. Confident in dissecting RFPs/ITTs to extract new content to be uploaded to the system and passing shared content up to Global Knowledge Manager. Maintain tender database in line with the RSHQ database policies and processes. Review the local content of the database on a regular basis, to identify which parts should be updated and ensure that new information from subject matter experts is added to the database as soon as possible. To collect the information that the subject matter expert provides and edits the content so that it is suitable for publishing. To review new content from CUK tenders for inclusion in the database in line with the content review process. Manage the work of the subject matter experts to ensure that all content is fully completed and up to date at all times. To Monitor and address feedback from database users. To run reports for management on the usage levels of specific content and to identify any gaps in the knowledge base To be the expert in the tender database system. Ensure legal and operational compliance and governance of database content. Provide regular training to all users.
