We are looking for a leader to join our team and work at Crestwood Dental Clinic located in Medicine Hat, Alberta. As the Office Manager, you are the orchestrator of a sizable group of dental professionals who come together each day to take great care of patients. You are passionate about patient care, leadership, people and the community. Our clinic is a large, spacious, well equipped 21 operatory practice featuring a diverse group of dentists, hygienists, dental assistants and front office support staff who provide a complete range of restorative and cosmetic dental services and extraordinary oral and patient care. The Office Manager at Crestwood Dental plays a vitally important role in the clinic driving performance, leading a team and ensuring that patient care is at the forefront of everything we do. Responsible for organizing, planning and overseeing dental clinic operations to ensure that patients are served efficiently and with great emphasis on providing excellent patient care and customer service. This role entails management duties and scheduling for front office staff, including reception and dental assisting professionals, keeps supplies in stock, works with vendors, plans events, and makes sure the facilities are being maintained according to clinic standards. DUTIES AND RESPONSIBILITIES Practice Operations Reviews internal processes to identify opportunities for continuous improvement Creates, establishes and manages internal office processes, protocols and procedures according to CDS standards to ensure office efficiency. Ensures effective team and patient scheduling. Adhere to communicated payroll processing dates and guidelines. Hire and train new office staff regarding clinic’s patient management process and protocols. Patient Care Ensures the best customer service through effective and timely resolution of any patient concerns or complaints. Ensures patients are informed and treatment planning is aligned with patient needs and the optimal oral care standards. Financial Management Manage the dental practice finances including controlling costs and maintaining the dental clinic’s budget, general ledger and accounting systems. Manages staffing costs including overtime through effective scheduling Ensure accurate payroll administration. Prepare accurate weekly and monthly reports, as required by CDS. Prepare bank deposits and statements. Monitor inventory and order dental office supplies as needed. Monitor and make sure all dental office equipment is working properly. Leadership/Management Lead, coach and motivate the team to drive attraction, retention and engagement. Communicates effectively with the team through huddles and team meetings. Leads by example promoting the values and culture to the delivery of the best possible patient care. Effective management of the team through hiring, training, performance management and team building. Support the implementation of company policies and procedures to drive practice efficiencies. Administration Ensures administration team accurately processes all documents related to insurance claims. Oversee accounts receivables and assists where necessary to ensure effective management and control. Provide the Dentist with administrative and practical support when requested. QUALIFICATIONS High School Diploma, College Diploma, Certificate, or Bachelor’s Degree 5+ years’ dental management experience required. Proven experience managing a large clinic with greater than 8 operatories Proficiency with practice management software e.g. Dentrix Proven experience managing a team. Strong business and financial acumen including budgeting and forecasting experience Some accounting experience an asset. Working knowledge of dental billing and insurance protocols. Must be a leader in attitude, spirit, and work ethic and have the ability to put the success of the clinic and clinic team members as top priority. Must work with the highest level of integrity in words and actions. Excellent computer skills. Good interpersonal and verbal communication skills to maintain effective rapport with patients, dentists, other staff members and community; conflict resolution experience; excellent customer service skills. Ability to multi-task efficiently, organized, and detail-oriented. Able to drive office policy improvements to achieve improved customer care/service. WORKING CONDITIONS Some evenings and/or weekends possible depending on clinic hours of operation.
