To facilitate this expansion and diversification we’re seeking talented and motivated professionals. We require an Office Manager with an extensive background, in Business Administration, HR, Finance and QHSE. Key Accountabilities Office Administration: Provide efficient, friendly and professional service to Blakemere Directors and Senior Management, staff and office visitors as well as ensuring the smooth operation of the office. Manage the requisition and maintenance of office equipment, stationary supplies, and staff amenities. Conduct regular inspections of work areas to verify that methods, materials, plant, and equipment are compliant Conduct visitor inductions Update and maintain all external administrative service contracts Ensuring meeting rooms and kitchens are maintained in a clean and tidy manner Assist with purchasing and procurement with receipting, raising, processing and expediting purchase orders Quality, Health & Safety and Environment: Administration of the online QHSE system including (with the assistance of department managers) management of the ISO accreditation and associated auditing requirements. Manage the company’s work processes and work instructions, ensuring Blakemere maintains ISO 9001, ISO 14001 and OSHAS 18001 certifications Maintaining company registers in QHSE Management System Prepare and formulate employee training awareness on all QHSE areas Support the management team in the implementation and management of an effective non-conformity, corrective and preventative action system Organise and attend Management Review meetings and maintain minutes for the Quality/HSE records Represent the company in Quality and HSE related matters (for instance during periodic ISO audits) Liaise with external parties on matters relating to the QHSEMS including preparation of QHSE pre-qualifications, vendor evaluations and client audits Establish, implement and maintain HSE training/awareness manuals and staff training requirements Manage the internal audit process, preparation for and attendance at all external audits Coordinate HSE committee meetings and prepare minutes from meetings and follow up on actions HR Administration: Administration of human resources, staff movements, training/certification requirements recruiting, employee contracts, personnel records and staff appraisals. Maintain employee training and certification requirements including, but not limited to, those required to perform off-site and offshore duties Manage the movements of staff and contractors to and from off-site and offshore work scopes including travel arrangements, visas, emergency response Conduct new employee inductions Maintain job descriptions and liaise with external recruitment agencies Maintain and implement all employee contracts Assist in the development and preparation of individual’s development plans (training, competencies, etc). Finance support: Administrative support to the Financial Controller. Assist with administration of accounts payable and accounts receivable Journal entries, bank reconciliations, credit card reconciliations and GL reconciliations Assist with daily and end of month tasks covering inventory, work in progress, job closure, invoiced jobs Record payroll, prepayments, provision for leave and other end of month tasks Assist with the monthly financial reporting Assist with any sales support including reporting, system entries, invoicing support Assist with inventory movement from purchase, receipt, allocation to jobs and reconciliation of inventory on hand Liaising and following up with suppliers and customers as required Skills & Experience Qualification in Business Management desirable Qualified in the implementation of QHSE Management System/Internal Auditing desirable Qualification in WHS/OHS desirable Previous QHSE experience Background in Office Management Basic knowledge of accounting principles and systems Excellent analytical skills Able to be convincing and communicate strongly Excellent training skills Able to provide detailed audit reports, with relevant required preventive and corrective measures Excellent report writing skills If you believe you are the right candidate, please apply now.
