Applications are invited for the above permanent, full time role in the University’s central Admissions Office. The post-holder will be trained over 18 - 24 months to become responsible for assessing all student applications to the University. The successful candidate will be trained to make assessments using defined criteria and in compliance with Bangor University regulations and policies, to establish eligibility for offers of admission to appropriate programmes of study. The successful candidate will be educated to A level, NVQ level IV (or equivalent) or possess equivalent experience and have a proven record of effective administration experience at a similar level. The successful candidate will be expected to commence 01/05/2020 or as soon as possible thereafter. The ability to communicate through the medium of Welsh or demonstrate a commitment to learn to a specified level is essential for this post. Closing date for applications: 6th March 2020 Committed To Equal Opportunities Overview The Admissions Office is the central Professional Service department within Bangor University which receives and co-ordinates the processing of all applications for study at Bangor University. The Admissions Office processes and issues offers of admission to all Undergraduate, Postgraduate and non-graduating applicants, both Home/EU and International. The department sits within the Marketing, Communications and Public Affairs section of Professional Services, alongside and working closely with colleagues from the Corporate Communications and Marketing department and the International Education Centre. Staff within the Admissions Office also liaise and work closely with admissions-related colleagues in the academic Colleges and Schools. Purpose of the Job This role will involve training the post holder to become responsible for assessing all applications (Undergraduate, Postgraduate, non-Graduating and those to Bangor University International College) against defined criteria, in compliance with Bangor University regulations and policies, to establish eligibility for offers of admission to appropriate programmes of study. The role holder will be trained to ensure compliance with the University’s regulations, the Code of Practice and Policy for Recruitment and Admissions and other associated external body requirements (e.g. UCAS and the UK Visa and Immigration division of the Home Office). The role holder will be trained, guided and closely supervised and monitored during the first 18 – 24 months whilst learning and acquiring the knowledge and level of expertise required to independently assess applications and issue offers of admissions. Training and supervision will be provided by the Deputy Head of Admissions and/or experienced Admissions Officers who will also act as mentors. Upon successful completion of training and gaining sufficient experience, the post holder will be supported through the promotion process to apply for regrading to a Grade 7 Admissions Officer post. All Admissions Officers are line managed by the Deputy Head of Admissions. Main Duties and Responsibilities Undertake on-going training to conduct qualification checks on all applications and evaluate the standard, non-standard and non-UK qualifications in order to establish eligibility for admissions. Undertake on-going training to make decisions for the majority of undergraduate and postgraduate (taught) applicants against defined criteria. Issuing formal offers as appropriate, in a timely manner and co-ordinating the rejection of applications. Work with Schools, initially under colleague guidance, to assess eligibility for any referred undergraduate and postgraduate (taught) applicants, followed by formal offers as appropriate, in a timely manner. Work with academic Schools, initially under colleague guidance, to assess eligibility for postgraduate (research) applications, followed by issuing of formal offers as appropriate, in a timely manner. Undertake training to acquire up-to-date expertise and knowledge on global education systems, providing accurate, up-to-date information and guidance on UK, EU and international qualifications to all enquirers. Ensure that the University’s admissions system data is accurately updated. To contribute to annual updating of systems, processes and documentation as required for the processing of offers of admission. To participate in the ongoing testing and development of databases and systems (e.g. Banner upgrades and development to accommodate changes in UCAS systems and processes, the BU Direct Applications (DA) system, INTTRACK CAS Bulk Upload), if required. Engage with the annual Confirmation and Clearing activities and support university-wide events (eg Open Days, Registration and Graduation), as required. Undertake training to be able to review likely visa eligibility for International applicants. Prepare visa application support documentation and letters for final authorisation and issuance by the Admissions Officers. Undertake other duties commensurate with the grade and nature of the role. Other Duties and Responsibilities The post holder will be expected to participate in performance review and developmental activities. Person Specification Qualifications Essential A levels, NVQ level IV or equivalent or relevant experience. Desirable A degree in a relevant area. Experience/Knowledge Essential Experience of working within a busy office /administrative environment at a similar level in a customer facing role. Experience of time-critical, high volume batch processing with substantial experience of working with complex information management systems and/or databases. Proficiency in the use of Microsoft Office applications (Word, Excel etc). Experience of working in compliance with regulations and documented processes and procedures. Experience of working with confidential information. Desirable Experience of working within a Higher Education Institution (HEI) or Further Education (FE) environment or similar. Experience of work associated with the HEI / FE admissions processes and an understanding of the applicant cycles (Undergraduate UCAS and Postgraduate). Experience of using UCAS and/or a University / College’s direct application system. Knowledge of relevant legislation, e.g. General Data Protection Regulations (GDPR), Competition and Markets Authority (CMA), disability, health and safety at work, etc. Knowledge of general UK Home Office immigration expectations and compliance. Experience of developing and implementing administrative systems and procedures. Good working knowledge of HEI / FE Student Records / Information Management Systems (e.g. Banner). Skills/Abilities Essential Highly accurate data entry skills and a high level of attention to detail. Excellent organisational skills and ability to handle a varied and demanding workload, with a positive ‘can do’ attitude and a willingness to work flexibly to accommodate peak workload periods and meet deadlines. Proven ability and willingness to quickly learn new systems, processes and procedures. Analytical and problem solving skills, incorporating creative thinking. Ability to work under pressure, independently and to demonstrate initiative. Excellent communication (oral and written) and inter-personal skills, with the ability to communicate effectively and confidently with a wide range of people from different backgrounds and cultures and to develop positive relationships within own team and with colleagues across the University. Ability to respond positively to change and contribute to successful change implementation.
