Under the supervision of the Director of Human Resources and the Director of Finance and Operations performs general office duties for the Main Office and Personnel Department at Central Office.ESSENTIAL DUTIES AND RESPONSIBILITIES:Includes the following; other duties may be assigned.Perform all general clerical duties including, but not limited to, word processing, making copies, filing, data entry, answering the telephone, opening and delivering mail, etc. Maintain records and files for all office correspondence and financial records. Maintains supplies and copier supplies and maintenance for Payroll/Personnel office.Maintain system for records of all school employees to provide a comprehensive, efficient, accurate, and current record of all matters pertinent to employment, transfers, professional development, retirements, leave of absence, summer school, commendations and reprimands.Creates and posts job offerings online for all staff positions. Sends postings to all Schools, Transportation and Cafeteria departments for bulletin board posting for support positions.Writes and reviews all recommendations for transportation and food services new hires, transfers and FTE changes. Writes letters of employment, creates and reviews new hire packets with all support staff.Creates and processes new hire packets for all Professional Staff. Verifies applications, licensure and education for salary recommendation to Superintendent. Maintains and distributes the new hire packets. Review new hire paperwork, benefits and requirements with new hires and FTE status changes.Create and maintain database for new hires, transfers, salary changes, name and address changes. Distributes updated information to technology department and other necessary departments for accuracy of records, laptop and email distribution.Takes all BPS ID pictures. Creates badges for all elementary school staff, food service and transportation staff. Requests badge creation and security credentials for all McKeown, Middle and High School staff.Posts all stipend positions including coaches on School Spring and writes letters of assignment and creates spreadsheet of positions; advises payment to Payroll; verify funding with Director of Finance and Operations.Inform teaching staff of requirements for column moves annually. Upon application, verifies documents on file are complete for column move. Submit all column move approvals to Human Resources Director for final approval and salary change.Receive Transcripts and mark course approvals as complete in My Learning Plan for graduate credits. File in staff members professional development file for future reference.Receive Transcripts and Document Tuition Reimbursement in My Learning Plan. Create requisition for payment and submit to the Business Office for Payment.Maintains a list of faculty and advises the Superintendent of certification status, completes necessary correspondence to staff. Reviews all licensure on the DESE website and requests expedited licensure when necessary.Assists Director of Human Resources with FMLA (Dispenses forms to employees, writes correspondence, maintains the FMLA log, monitors leaves with Director of Human Resources. )Distribute payroll checks during the summer and school vacations.Assists Database Manager with EPIMS reporting to the DESE. Maintains all staff records in ASPEN for EPIMS and State Reporting.Coordinates hiring of all substitutes, including the scheduling of interviews, processing necessary paperwork and notifying the substitute caller of new hires. Maintain substitute database with all active substitute and their contact information. Deactivate substitutes that are not actively working.Maintain and update a complete database of all substitute teacher information, including level of education, degree and certification information in order to assist with long-term substitute assignments.Maintain all personnel contracts entered into by the district, including any individually negotiated contracts as well as contracts negotiated with employee groups.Process all CORI requests for Staff and Contracted Vendors, organize and maintain database for all personnel. Maintain SAFIS fingerprinting records for all staff. Receive, create and distribute Suitability Determinations for new staff, former staff, student teachers and interns.Assist Payroll with employment verifications, letters of employment and salary, proof of insurance and other requests.Assists Payroll with attendance issues, leaves of absence, dates of absence and return dates.Maintain 403B database, confirm distribution accuracy weekly and bi-weekly. Send distribution spreadsheet to service provider via email and regular mail weekly and bi-weekly.Distribute requested forms and documents to staff upon request.Communicate in a professional and courteous manner with Students, Parents, School and City Personnel, and vendors as necessary. Must maintain confidentiality and handle sensitive materials.Perform other duties that may be assigned by the Director of Human Resources, Director of Finance and Operations or the Superintendent of Schools or his/her designee.
