Position Title: Transportation Secretary Department: Area Reports To: Transportation Supervisor FLSA Status: Non-Exempt **Must obtain a CDL and a School Bus Driver Certificate. Must pass a Physical Performance Test.** SUMMARY: Under occasional supervision, to provide secretarial services and accurate file and record information to the facilitator for the department being served. Communicate information, problem solve and provide necessary contributions to the efficiency of the office and to provide necessary image of the office to internal and external visitors. ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned. Makes and receives telephone calls, takes messages, routes calls. Maintains records and files for department. Receives, opens and routes incoming mail. Prepares mail for courier delivery and postal services. Greets visitors, giving directions to meeting places and other information as necessary. Types, prepares, distributes, file records/reports, correspondence, mailings etc. related to department functions and needs. Orders, processes, and maintains office materials and equipment. Operates standard office equipment. Distributes correspondence, flyers, and written communication. Assumes responsibility of any special assignment deemed necessary by the department. Serves as key operator for office equipment and calls for service when necessary. Prepares requisitions for office supplies. Gathers information from files or other sources to assist in preparing reports as required. Schedules appointments and assists in maintaining supervisor’s calendar. Performs other duties as may be assigned by the Supervisor. Processes activity trip request, assigns bus drivers for trips and processes completed activity trip permits for payment. Job Specifications EDUCATION and/or EXPERIENCE: High school diploma or general education degree (GED) plus one year secretarial or office experience or training. LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees or organization. MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. REASONING ABILITY: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. OTHER SKILLS and ABILITIES: Ability to operate a personal computer and related software. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies. Ability to maintain effective relationships with the public, other staff members, and school employees. TERMs OF EMPLOYMENT: 200 days Clerk & Office Staff Salary Scale EVALUATION: Performance will be evaluated annually according to agreement between the Board and District Superintendent.
