The Receptionist is also responsible for providing administrative support for the benefit of all 2-1-1 staff. Essential Results Visitors and callers are received warmly and professionally; we have daily front desk coverage during regular hours: Greets all agency visitors & guests, following agency protocol for checking guests in and distributing name badges. Connects guests with the appropriate party, or escorts guests through the office to their destination. Answers the administrative line telephone, responding to inquiries or transferring calls appropriately. 2-1-1 San Diego's office is always clean, organized, and presentable: Ensures reception lobby area is presentable, tidy, and displays appropriate messaging. Ensures cleanliness of the office, including common and leisure areas and the refrigerators. Organizes & cleans up areas in need of attention and restocks supplies as needed. Supports Finance & HR Assistant with maintenance of facility and office access, including acting as the point of contact for vendors & contractors. Communicating services provided to finance department in a timely manner. Assists with distribution of any deliveries or catering. Meeting and tour logistics are addressed proactively and thoroughly: Coordinates and schedules meetings & tours Prepares meeting materials, assembles information kits, and orders catering. Manages calendars for meeting spaces, proactively researching needs for meetings, preparing meeting rooms in advance and cleaning them up at meeting end for both internal and external meetings. Resolving any scheduling conflicts that may arise. Administrative support tasks are completed on time and accurately: Daily mail pick-up, distribution, preparation & drop-off, shipping & receiving. Processes Executive Team expense reports, including tracking receipts & expenditures and working with the Executive Team to ensure all documentation is received promptly. Researches and makes travel reservations for staff, keeping receipts and documentation organized. Responsible for inventory and ordering of all office supplies and distributing to staff as necessary. Supports 2-1-1 staff with administrative tasks as necessary. All things we do are in line with our company values. Excellent writing, editing and proofreading skills, as well as strong verbal communication skills. Ability to track multiple projects and manage multiple priorities in a fast-paced environment. Highly organized and detail-oriented with the ability to problem solve and work independently. High level of proficiency in MS Word, Excel and PowerPoint; skills test may be required. Demonstrated ability to exercise tact and good judgment. Must be able to maintain confidentiality when dealing with sensitive information. May be required to utilize own transportation for fieldwork (with expense reimbursement). Position Details Status: Non-Exempt, Full-Time Department: Business and Partnership Development Reports To: Vice President of Government and Community Relations Executive Manager Work Schedule: Typical schedule is 7:45 a.m. to 4:15 p.m. Monday through Friday. However, flexibility is required due to nature of business. Schedule may be changed as necessary, to include weekends and holidays. Required to be responsive and available for shifts for as much as 12 hours in length during declared emergencies to perform duties as directed by the Emergency Manager.
