Please let us know if you require accommodation. Job Description Overview: 123Dentist is seeking an Executive Assistant for our fast-paced office in downtown Toronto. The ideal candidate will have exceptional organizational and time management skills, be able to support the needs of the executive leadership team and manage the day-to-day operations of the office. Responsibilities: Manage calendars and schedules for the executive leadership team with a high degree of anticipation for changing priorities. Respond to email correspondence in a timely manner and prioritize inbox as needed. Plan and arrange travel including booking and managing reservations. Develop and sustain strong relationships with internal and external stakeholders Act as office manager, including space planning and allocation General office management duties include (but not limited to): coordinating couriers, monitoring and maintaining supplies, submitting invoices, greeting visitors, receiving packages etc. Qualifications: 2+ years of experience in a similar Executive Assistant or Office Administrator role working with executive leadership. Experience with executive level calendar management and managing travel reservations is a strong asset Able to exercise discretion in sensitive and confidential situations. Strong influencing, interpersonal and diplomacy skills with a high comfort level in dealing with senior executives and individuals at all levels. Excellent organizational, time management and priority setting skills in order to manage competing priorities. Experience in event planning or coordinating is a strong asset. Strong verbal and written communication skills in order to prepare reports, correspondence, presentation and other communication material. Excellent PC skills; experience working with Word, Excel, PowerPoint. Manage communications across Vancouver and Toronto office locations. Ability to take initiative and be flexible in responding to needs as they arise.
